Hey everyone!

This is another logistical email to let everyone know about
coordination on the day. Obviously the emphasis at Kink For All is
personal autonomy, which means you don't need permission to do
something if you think it'll help the event.

Of course, it does help to have a few people to go to if you're
feeling confused or need help with something.

On the day itself, Maymay will be acting as a technical lead, taking
on responsibility for getting us online and setting things up. If you
have technical issues on the day that you can't resolve yourself,
please get in touch with him.

I believe Jason has been kind enough to offer his support with AV
equipment as well, which is awesome. And there are obviously a lot of
tech-savvy people on the list, so please do step up if you see an
issue and can solve it!

On the non-technical side, I'll be acting as a volunteer lead. This
means I will be keeping presentations on schedule, managing the
presentation board, taking food deliveries, acting as a point of
contact with the Center, and being a mediator for any issues you may
have.

Maja is also an appropriate contact person to work the the Center, so
bring any venue concerns to me, or to her.

As with technical stuff, you don't need my permission to do something
if you think it will be useful. If you have questions or concerns,
however, I'm happy to help.

Stupid question:

Dean is telling me that he can only be available for a few hours (say,
2), and that he has people who'd like to come to see the film. I
calculate that with 5 minutes between presentations, and an hour for
lunch, there are about 45 presentation slots. I haven't counted, but
I'm not sure we actually have 45 people who have signed up to present
(not that I think we'll have trouble filling the time).

So my stupid question is, is there anything I can tell him other than
"I'll see what I can do about signing up for the time you want"? He's
looking for a two-hour window to schedule around. I realize I'm
reaching, but I figured I owed it to him to at least ask.

Hi Zephyr,

Sorry, I feel like there's some back-story to this email I might be
missing. If it's been discussed on the mailing list before and I've
forgotten, my apologies.

I'm not sure who Dean is or what the film situation is, but I can
tell you that if you have time concerns, you should come in the
morning when the event starts and sign up for an afternoon slot.
We're not reserving any slots ahead of time, but I anticipate that
those who arrive on time will have little trouble getting their pick.

I realize this may not seem solid enough to plan around, but I
believe it is. I don't think you'll have any trouble getting the time
you want if you sign up early, and if you have serious timing
concerns you can speak to me on the day and I'll try to accommodate
you as I manage the schedule grid.

Is Dean signed up for the list? I don't see him on the wiki, but
perhaps he's using a pseudonym? We're not capping sign-ups on that
page, so please encourage him to sign up.

Please keep in mind that if he has people coming who are not
currently signed up, we may have issues accommodating all of them.
However, this will only be a concern if we have everyone at the event
simultaneously. I don't anticipate this happening very often, as
people will come and go according to their own schedules.

In the event that we do reach capacity and are asked by the Center to
keep our numbers down, we will be giving preference to people who
have signed up on the wiki beforehand. That's why it's crucial that
everyone who has expressed an interest put their name down.

Bluntly, no, there's not really much anything else to say about this—
come early, grab a session time on the schedule grid, and do your
best. It sounds to me a little bit like you're trying to fit a square
peg into a round hole. We really don't have the kind of space that
screenings are very suited for. I think this can work and I'll be
happy if the film sparks discussion, but I'm much more interested in
the potential discussion than screening the film itself.

Thanks for that, Maymay! Zephry, sorry I didn't remember that thread
from earlier.

Zephyr, the original discussion around the idea of screening that
short film on kink still holds. You'll have to come early to get a
presentation slot, and please reserve the second space with the
intention of leading a discussion or delivering some further kind of
value around the film. Additionally, my comments on signing people up
appropriately still hold true.

We might have a digital projector that could show this film from a
laptop. It is, however, *not* a guarantee. We'll know the morning of
the event.

I suggest that either Dean get involved here on the list and decide
whether he wants to work with this kind of fluid scheduling, or that
you make your best judgement call and see how it turns out. I'm happy
to help you as best I can, within the constraints and spirit of the
event.

Yeah, I already brought that up. He said it's only a few people.

Do we have a budget for equipment rental? Google suggests we could
get projectors for $150. Also, can we ask the center about borrowing
their screens, even if we have our own projectors?

Because we sourced a potential projector from one of our awesome attendees, we no longer have a dedicated budget for equipment rentals of this kind. As Mila is the kind person who volunteered to bring a projector, I suggest you reach out to her about coordinating this.

As for screens, we currently assume we'll be projecting onto a wall. However, I will ping Maja about inquiring if a screen might be available. Is the screen a necessary?

I'm confused. Volunteer projector = lack of budget? But yes. Mila,
any thoughts? (You can just email me directly.)

Well, I don't know about the other rooms, but there isn't a single
uninterrupted flat wall in 310. I was there last night and spent half
the time staring at walls and thinking about layout...

Our budget is totally open for public viewing, so you can see for

We have $45 of disposable budget, which I currently intend to use to
cover contingencies. However, if you think you can get a projector
for $45, let me know. (Please do communicate with Mila first so that
we can keep this a coordinated effort.)

Hmm. Thanks for the heads up. I will take this off the list and talk
with Maja about screens from the Center. I'd also love to hear any
ideas you have about sourcing a screen elsewhere. Please email me
directly if you have more input on planning for this.

Hi, all -

I wasn't able to reach my contact at the Center about screens. But! I
plan to go to Staples and grab a surface that might be projected upon,
like poster paper. I realize this isn't ideal, but I want to make sure
that our needs are covered.

Let me know if anyone has a better solution...!
