• Meeting Notes
• Sponsor team (~6 people)
• Money??? How much do we need? (Last time was 100 million VND)
• Need to calculate cost of how much for each attendee?
• List of ex-sponsor? How to attract new sponsor?
• Suggest fee/coffee
• What kind of benefit can companies get?
• Market Research: What kind of participants have we had in the past?
• Sponsor team has few members? Everybody needs to help!

• Regarding to contract with company, who will represent Barcamp?!

I think, it is the easiest, if I approach the sponsors of last three events as I have a good relation with them and they know who I am. As soon as they confirm the sponsorship I'll let you habdle the bureauracy, hehe. I'll be available on request.

There is a long list on the Master File. As soon as you guys created a new Master file I will update the contact data into the new list. Some of them it is easier I contact as they are coming from a prsonal relation. Others I'll give to you. You might open up to even more companies.

Please consider:

- skunkworks is Diamond Partner until end of this year, means they commit to 20 Mio for both BarCamps this year.

- KMS Technology is Gold Partner until end of next year, means they commit to 10 Mio for the next four BarCamps.

You might rework the sponsoring benefits and the sponsoring proposal, which I can share to you later on. Some of the benefits may not be appropriate (Minh and Tomo know details).

I will also share to you the sponsorship agreement templates and the process information. I suggest, you keep them as they are as most of the sponsors are fin with that.

I encourage you to attend to the details such as red invoice informations and stuff as this can cost a lot of headaches. You have to work also very close with the supply chain team.

Now, we are holding a chance to talk more with each other, and also work together.

It's cool to realize that finding sponsors is a difficult but very interesting job.

Many of team members are new to the task, so I hope we all can learn something new :)

As a volunteer job, we are freely to set how much effort each of us can give for the job, freely to address your personal schedule, and problems.  However, I hope each member also should be aware of oneself responsibility and commitment for team goal :) This will keep our small team moving forward

As being called a team leader, I will not try to govern anything, but will try to be very responsive as  a contact point for all of us/problems, although I have a long plan to go travel this year.

I hope I can help to keep our goal run smoothly and on time.

- Submit an amount of time, that you can give as a Barcamp volunteer
- Schedule your time to attend next offline meeting

To start, let's discuss some questions (in this thread, or it's better

- Can we have coffee company sponsor for Barcamp? How?
(Company, such as Trung Nguyen, provides coffee for free)

- What kind of benefit company get if they sponsor for Barcamp?

I think most people have trouble coming at 6:00PM, so we will plan to
start at 6:30PM. The location is still Tango Juice across from
Bitexco Tower.

Everyone can come to the meeting, but you may also go to only your
team's meetings if some representatives from your team will go to the
meeting and update the team. So if you have some problems with the
main meeting time, you can still participate.

Barcamp, Jungle Juice took care all of this..water, cafe, tea. even
they make coffee for us. If we find sponsors like Trung Nguyen, or
Vinacafe, we're gonna make the coffee, tea, and stuff like that

Thanks for giving more information about Vinacafe, I-on Life and Tango
Juice.
I don't know much information about how food and cafe are provided
last Barcamp,
and how do we pay for these services?
Can we have someone in Sponsor Team, or Supplier Team,
who can volunteer to work with Quang on the information
and give a summary about what change we can make to improve food and
coffee service?

The designed look of Quang's sample proposal is good, but yeah, we
need to focus on its content first.
There have 2 ideas that's interesting for me when reading these
proposals:
- Make "Barcamp in Numbers" section better
- Include "What people say about BarCamp?" (international and local
community)
I think Marketing team can help us add these contents for the
proposal.

I played with figures a bit to give a summary about Sponsoring Goal

Last Barcamp we get 100M from 11 sponsors: Glandore

Systems, TOPICA, Evecoo, KMS, Baomoi, Tiki.vn, Skunkworks, Nokia, NCT,
RMIT, TLi
Consulting

Let's say we need in minimum: 100M for this Barcamp.
A good news is that we already have 2 Sponsor Partners (Skunkworks as
Diamond Partner with 20M, KMS Technology as Gold Partner with 10M)
So we have 30M from previous Partners (thanks for previous teams), we
need to find more sponsors for remain 70M
Diamond Partner, Diamond Sponsor (20M)
Gold Partner, Gold Sponsor (10M)
Silver Partner, Silver Sponsor (4M)

Let's say we can find 2 more Diamond Sponsors, 2 more Gold Sponsor, 4
more Silver Sponsors
we can get 2*20 + 2*10 + 4*4 = 76M
We'll have 10 sponsors with 106M. That's is the minimun goal.
Pls give your opinion and elaborate the plan.

My suggestion:

1. Prioritise itemse you have to provide according to business value.

2. Get as many sponsors as needed and let them pay for the most prioritised item first.

There is no rule, that BarCamps need to provide free, t-shirt, food and coffee, etc.

BTW, what was wrong with food and coffe last time?

100% sure, that KHai from Tango Juice will help again.

Work on the rule: benefits, requirements.
All of us will discuss on each parts of the proposal,
