Ona supports replacing XLSForms with or without submissions. You can make changes to a form by downloading the XLSForm from the Settings page of the form, making changes and replacing the form by clicking on the dropdown menu next to the form and selecting Replace Form

Please note that replacing the form needs to be done with caution when the form has submissions.
A few tips when replacing a form:
  • Do not delete a field name in a form; any previously collected data with the field name will be lost.
  • Changing the structure of the form by moving groups, or renaming the group name will also cause data loss.
  • Always export the previously collected data before replacing a form. 
  • If you have an ongoing data collection project, make sure to inform the enumerators collecting data to submit all collected data, delete the older version of the form and download the updated version of the form.
If you have replaced your form with submissions and you have some data missing, try the following:
  • Replace form with the previous form to retrieve the data.
  • If the data is lost, then it seems the changes are affecting the structure of the form. Review the changes made or you can opt to upload it as a new form.

Hi, I made a very small change to a form (added one choice for a multiple choice question which already has 5 choices). I have done this type of edit many times previously with no problem.

But now I can't export the Excel. The error message is not helpful
There was an error with this export.

The error reported was:

Then the form basically is status pending but with no result. I tried as suggested here to replace the form with the previous but this has made no difference.

How do I access the data?

Hi everyone, some of the changes I made to my form are not taking effect. I downloaded xls, made changes to it and uploaded it. My observation is that, some of the changes I made are not taking effect.

Hello Donald, 

You might need to reload the page after replacing the form to see if the changes made to your form have been effected. Please note that if using Enketo, you'll need to wait until prompted to refresh the page once you load your webform in order for the changes to be downloaded. If using ODK Collect, you'll need to re-download the form.
You can also automatically download updated versions of forms on ODK Collect by enabling this setting under the Form management settings of the ODK Collect General Settings menu. Tap on the Main menu (three dots) then tap on General Settings. Select Form management then under the Form update section set an interval for when your form should be updated when changes are made under Periodic form updates check and mark the field Automatic download to enable your form to automatically download updated versions of forms.

Hi there,

I need to replace form that has submissions in it as we need to add a 'skip logic'. Can I do this without losing data?

Hello Niduk,

Please note that when you add or remove skip logic, it will not affect the data collected previously but when editing if the skip logic is FALSE the data will change to null. Please see this guide on the changes that are ok to make and changes that are not okay to make on form with submissions.

Hi

I moved a webform from one project to another & then added an xls form with the same name to the first project. Now, when surveyors select "get blank data" they only see the new form that was added. but when they select "fill blank data" it shows both forms, the previous one (moved to a different project , the surveyors dont have access to that project) and the new one.

We have also faced the same problem when i replaced an existing xls form with an edited version of the same. now it shows two forms with same name.

Please help ASAP.

The enumerators are able to view forms with the same title while filling blank forms after you have moved the form to a different project probably because, they had already downloaded the form on their devices before you moved the form. We would recommend that the enumerators delete the saved forms to be able to view the new form while filling in the blank form. Kindly take a look at this guide for more information on deleting saved forms.

When you replace a form, we usually recommend users to first delete the old form version from their mobile devices before downloading the new form version. This prevents users from submitting data on the wrong form version. Therefore, we would recommend that the enumerators delete the saved forms from their mobile devices. Then re-download the new form version. Kindly note that the enumerators need to ensure that they have submitted their data before deleting the saved forms to avoid data loss.

Hi

We are going to conduct a Nutrition Action Week in Bangladesh which starts from tomorrow. The survey will take place in remote areas so 90 enumerators will fill up the forms in offline mode and then submit all (90*300)=27,000 forms after coming to main town, at a time. Is that going to be a problem? Can ONA handle this? Please let us know ASAP.

Yes ona can handle it but I am advising to subscribe the premium version don't use the free version because after 500 submission your enumerators cannot submit further this month

Hello Shammi,

Yes. Ona can handle 27,000 data submissions. For this to be possible, you would need to upgrade to one of our paid plans. Have a look at our plans page for more information on the different paid plans that we have, and the limitations on each plan with regard to private projects, private forms and private form submissions.

An alternative to upgrading your account, would be to make the project with the form collecting 27,000 submissions public. Please note that public projects are visible and findable by anyone.

No. The 500 private form submissions per month limit does not apply if you are using a public project on a Free plan account. Public projects have unlimited forms and submissions, as long as the private submissions limit has not yet been reached.
