Folks,

While we have discussed DevNexus at some length, another significant
enough conference that actually occurs before DevNexus is JavaLand. I
have the following questions I would like to discuss with regards to
JavaLand.

* Three speakers have MicroProfile related talks - Emily, Rustam and
Mads. Should we look to send them some swag? If so, how much? How many
attendees on average show up to JavaLand talks? Is 10 shirts and 100
stickers per speaker an adequate amount?

* Who actually has a booth? Looking at the sponsors list it looks
surprisingly thin. It is really just Microsoft and Payara? Should we
look to distribute swag via booths if vendors are open to that (I know
Payara is)? If so, how much? Anyone know what the attendance numbers for
JavaLand look like?

P.S.: One important consideration is spending swag with the 2022 budget
very soon, especially for working group members. I am not an accountant,
but utilizing OpEx money too late after the budget period is over can be
a very dicey matter in terms of tax audits (and non-profits like the
Eclipse Foundation are audited surprisingly often). I believe we should
play it safe and try to spend the 2022 money promptly and move on in a
timely fashion to the 2023 budget money. March/April may already be
getting into dicey territory.

Emerson and Reza, 

Can you please update the Swag 2022 spreadsheet, row 2 (fill in the amounts)? How much swag was purchased on MP hoodies and stickers using the $15,000?

 Feb 16th- MPWG forum email provides my feedback on Javaland's speaker coverage.  It also provides tracing reference to swag resolutions between the EF team and the WG from Dec 2022 as follows:

Hello Team,

I am happy to report that I am also attending JavaLand and delivering a talk. I will mention Jakarta EE in my talk. However, I have one advantage regarding swag. I am traveling from USA to Germany, so I have the ability to bring the items with me and not have to fight the customs challenges mentioned by Jan in the meeting today.

Let me know if you want to ship them to me so I can take them as a checked bag.

I believe we can and should easily accommodate this. Can I ask a favor to help determine the overall IBM position on the 2022 swag? To make it easy, do you prefer we focus on events (mostly DevNexus) or just send it to members at least for this time?

One factor to keep in mind is that these are hoodies, so slightly pricier. In the future we may opt to have t-shirts, which are more volume friendly (or some combination thereof). Perhaps members want some of these for their own committers/community this time rather than general distribution (this won’t be what Microsoft will do).

Do you think the box can hold 30 hoodies? See the spreadsheet recommended for the Javaland speakers.

That's quite an aggressive schedule. Given this, I move that we ship to Ed now. I don't foresee significant problems with doing this honestly on either paths proposed. Emerson, could you kindly move ahead with the arrangements with Clark and keep me in the loop?

I do suggest we up the hoodies sent to 20 for Emily as she requested. Similarly I think we should send 15 hoodies and 400 stickers each to Rustam and Mads. I prefer we adapt the current "allocations" across the board accordingly. If there are serious objections to this, Rustam/Mads' additional swag can come from Microsoft's "allocation". Similarly I bet it's fine for the additional hoodies for Emily to come from IBM's "allocation". Can we kindly consider this and make the corresponding modifications please?

Lastly, should we try to do something for Jan? Jan, could you kindly weigh in on this and on the general topic please? Are you or someone you know at JavaLand?

I find Ed's offer most kind. Hopefully, it works out.  

The spreadsheet tab 2022 swag is meant to simplify things. It shows:
  1. There are precisely 15 additional hoodies (I originally suggested their allocation for DevNexus, yet the latest suggestion is also great) shown in row 31 that could be given to Rustam/Mads instead.  +1 to either DevNexus or Rustam/Mads.
  2. Emily could choose to use IBM's swag allocation, row 9, to get the additional 10 hoodies beyond the 10 listed under her name for Javaland. That would leave IBM with 7 hoodies. Emily, is that what you want?
  3. If 1 & 2 remain in effect, Microsoft does not need to cover from its swag on the latest approach you suggest, Reza.

PS: I added to Tomitribe's swag the extra 3 2XL hoodies from row 31.  As stated before, TT will hold the 3 hoodies until MicroProfilers request them. We are happy to ship them globally.  However, if any 2022 MPWG member(s) need the 3 hoodies, please say so, and the spreadsheet will show the adjustment asap.

It's okay for the extra 10 hoodies from IBM allocations. I have 2 sessions on MP at JavaLand so I need more swags. For the swags, I prefer to focus on the events. I think shipping to DevNexus is a great idea!

As for the SWAGs for JavaLand, woud the additional SWAGs be shipped to the conference directly as it seems that Ed can only take 30 SWAGs? I think the hoodies can be bulky.

Ed, can you please advise? It seems to me you can pretty much carry the swag for JavaLand we are talking about so far. Otherwise, we need to see where we can ship (perhaps to either the conference itself or the Microsoft/Payara booth).

I can take what could reasonably considered a checked bag.  I took a box this size last year.

Can you kindly estimate a number very soon? We will need to figure out what to do with what cannot come with you. Do bear in mind please these are hoodies, not t-shirts.

We also need some advice (from Jan?) as to how to best handle the German postal service if we need to use that. Shipping large quantities overseas is very dicey business with taxes/tariffs/laws/regulations, etc. We will need lead time to figure all that out.

I spoke with Reza and my capacity is:
  • All the stickers
  • 15 hoodies
I suggested that even though you will likely have to employ a shipping service for the remainder of the swag, it is still worthwhile to send these with me so that we at least have that much on hand at JavaLand.
