Hi BC Islandora folk,

I didn’t find time at last week’s icamp to talk to everyone about scanners.  I’ve been approached by a couple of scanning companies to buy high end machines.  We really don’t have the need or the materials that demand that level of equipment.  What we’ve identified for scanning thus far are photos, some bound books (not rare), and flat sheets of paper up to 11x17 in size.  Are you using a regular flatbed scanner?  Is there a make/model that you’d recommend? Avoid?  If not a flatbed scanner, what are you using?

Thanks,
Kathy

Hi Kathy,

We’ve been running a pair of EPSON Expression 10000XL machines connected to dual monitor iMac configurations for several years now. They are primarily flatbed machines with extra lids: feeder, slides . . . We’ve had no trouble with our set-ups (each scanner was around 2K, and the each iMac/monitor another 2k each).

I think to do this right you need to spend invest in decent equipment. Your scanning needs may change in the future . . .

We are currently using our regular multi-function device for scanning, but we are anticipating purchasing a scanner in the near future. So, I'm also very interested in (and grateful for) responses to Kathy's question.

Thanks, Brenda

SFU (and a lot of other places) has used these scanners for years and we love them. I agree with Daniel, find a model that people will vouch for and invest in it. You want to get the best quality image you can afford to produce. Speed, in terms of how many images can a technician scan and save per hour, is also an important thing to consider.

We have 2 Epson Expression 11000XLs and they've worked well for us for the last 4+ years. I don't recall what we paid for them. We also recently invested in an Atiz Book Drive Mini for scanning books. Its software is a little finicky but in the end it has worked well for us. UBC also has this unit I believe (though they may have upgraded the cameras).

I find the EPSON a little slow but I like the image quality.

I was on my phone when I responded. Now that I'm at a full keyboard, I'd like to add a couple things:

- The cost of a good flatbed like the Expression XL may seem high, but some grants pay for hardware.
- The software that comes with a scanner can make the machine really easy (and fast) to use or hard (and slow) to use. If you are asking for recommendations, ask about the software as well, or if the scanner is being used with a third-party application, ask about how that is working.
- Speed of operation should be evaluated in images scanned and saved per hour, not by the time the manufacturer claims it takes to scan a single image. That is important, but it's like the mileage claims car companies make. Real world usage may vary. You don't want you scanner to be a bottleneck when you are racing to meet a funder's deadline.
- Being able to save the output file in a specific location, in a specific format, with a specific name, is very important. You should test the software for the ability to do these things (sounds obvious but you'd be surprised at how cheaper scanners or multifunction machines screw this up).
- If you can't justify investing in a good scanner, look into having a trustworthy local service company digitize your stuff. I am sure some of us on this list can recommend a company.
- Another option is to partner with a larger institution who may have the equipment and capacity to digitize stuff for you.
