Available Units of an individual resource

I am preparing the schedule for a project where multiple resources are going
to work.
The project has a custom project calendar with a 7-hour working day. This
calendar was prepared from here:
Tools > Changing Working Time > Exceptions, Work Weeks > Details.
Then tasks were created and resources were added.
But one of the resources, Tom, will not be able to work 7hrs every day for
the whole duration of the project.
On certain days he can work 8hrs (this is happening on 2 days, 10/19 and
10/20) while on other days he can work 5hrs a day (on 10/26, 10/27).
To account for this situation, I went to Resource Sheet view, double clicked
Tom to bring up the Resource Information dialog box and from the General tab
entered his Resource Availability as below:
Available From: 10/12/09 … Available To: 10/18/09 … Units: 100%
Available From: 10/19/09 … Available To: 10/18/20 … Units: 114% (8/7*100)
Available From: 10/21/09 … Available To: 10/25/09 … Units: 100%
Available From: 10/26/09 … Available To: 10/27/09 … Units: 71% (5/7*100)
Available From: 10/28/09 … Available To: 10/18/10 … Units: 100%
(One isolated question: is it necessary to enter the information as in row
1, 3 & 5? Or )
But problems arise when a task may last for several days. For example, if a
task starts on 10/26 and lasts 4 days, the task is scheduled as if Tom is
working 5hrs for the whole duration of the task although he can provide 5hrs
on the first two days only, the remaining 2 days he can work 7hrs every day.
So, my questions are:
1. How do I get around this error so that Tom is scheduled to work 5hrs only
on 10/26 and 10/27 while he is scheduled 7hrs of work on 10/28 and 10/29 as
is the default working hours for the project?
2. Is there a better more accurate/appropriate way to account for situations
such as described above?

Hi,

Change Tom's working time calendar rther than his Max Units
Max Units don't update the plan they will only show Tom overallocated.
Working time does update the schedule.

I would manually edit Tom's hours in the Resource Usage View.

Hello Shahriar Nour Khondokar,

Instead of modifying Tom's max. units, I would just change his
calendar through Tools > Change Working Time and add exceptions to
increase or decrease his hours on the specific days or blocks of
days.

As you note changing max. units and then assigning the resource to
tasks which span the change in max units is not successful as the
assignment is set at the max. units on the first day of the task.

As posted on 14 OCT 2009, you will need to switch to the Resouce Usage View
(View/Resource Usage) and then find Tom as a resource. Manually adjust the
hours he is working on the task by keying those values into the Work row for
that task on the right hand side.

Note that the percentage availability and the percentage assignments do not
really represent the number of hours out of a workday the resource is
available to work or will be working on a task except as a first
approximation. What the percentage really represents is the RATE at which
the resource turns the passage of time into work. Assume all of the systems
defaults for the Project calendar, etc. I have a resource whose base
calendar is the Standard calendar and who is listed as having a maximum
units of 50%. I assign him to a 1 day duration task that starts at 8am.
50% assignment does not mean he works on it from 8am until 12 noon. He
still works on it, in bits and pieces, from 8am until 5pm - the deliverable
isn't completed until 5pm so in terms of scheduling the next event in line
that time still governs. At 50% assignment, he's done 4 man-hours of work
in theat time period. Because he has distractions on his plate, he only
gets the amount of useful effort done that he COULD have done between 8am
and noon were he free'ed up from the other obligations. Four hours of
full-time-equivalent work output has taken him eight of clock time to
accomplish because at a 50% effort level he only achieves 30 minutes worth
of actual progress for every hour he puts in.
