KKPKP is looking for an Office Administrator. The appointed person will be responsible for coordination and overall management of all administration related to the office, office staff, project activities, ensuring office are followed procedures and coordinating travel and activities with the Alliance partners.
Additionally, the Office Administrator will also assist in internet research, reports, managing database, formatting and circulating the Newsletter. The Office Administrator will work in close consultation with the Project Coordinator.

Location: Pune
Responsibilities include:
* Ensuring that the office is cleaned and maintained and all equipment is in working order
* Procuring services and equipment following prescribed procedures and budget allocations
* Planning and implementing systems to facilitate smooth operations including filing systems, both, physical and digital
* Maintaining leave records etc of about 10-15 staff
* Establishing and maintaining processes for all inward /outward/ email communications etc
* Co-ordinating, scrutinizing and maintaining up to date records of all utility bills, travel and hotel bills.
* Scheduling and coordinating meetings and conferences.
* Responsible for the implementation and ongoing maintenance of all office policies and procedures.
* Manage and order supplies within the budget guidelines of the organization.
* Provide guidance and expertise in administrative matters to network members.
* Develop, implement and conduct office staff and office volunteers training meetings as needed.
* Delegate responsibility to appropriate staff and volunteers to ensure that the day-to-day functions and assigned projects are carried out. Personally manage the staff and volunteers who are responsible for the specific tasks, assignments, programs & events.
* Design and implement network communications programs in order to ensure ongoing, positive up and down communications throughout the organization.
* Encourage the growth of the staff
* Maintenance of resource center
* Maintenance of website and databases with regular updation and trouble shooting
* Organise events with team locally and in other cities when required
* Other duties/task may be assigned on an as-needed basis
Basic Requirements:
A
minimum of 5 years of office management experience preferably in non-profits Fluency
in English and Hindi – an essential. Fluency in additional South Asian language
desirable.
Skills Required:
* Strong managerial and organizational skills, as well as understanding of community-based nonprofit programs.
* Adept at Microsoft Office specifically MS Word, Excel and Power point besides the ability to use and maintain a projector, laptop, fax machine, copier
* Must excel in personal interactions with the staff and Alliance members at all levels of the organization.
* Ability to read and write in Hindi / Marathi desirable
* Ability to manage relationships and creating new relationships with vendors who provide services
* An ability to integrate and harmonize diversified functions.
* Understanding, influencing and serving others are important attributes in this position.
* The ability to resolve problems quickly and effective and determining appropriate courses of action, which are then reported to the Convener.
* Must display a high degree of emotional maturity while keeping difficult situations in proper prospective.
* Must be flexible and have well developed interpersonal skills.
* Willingness to travel, when required is necessary.
* Putting in extra hours or odd schedules might occasionally be required.
Hours of work: 42 per week
