Included info on specific current volunteers for some tasks; all others are currently done by me or not being done at all

Mail

  1. Pick up, open and sort mail
  1. incoming orders & subscriptions
  2. prisoner requests
  3. distro / store payments
  4. zines for review
  5. advertising
  6. misc other mail
  1. Mail out orders
  1. fill orders received by mail
  2. fill orders received by email
  3. fill free prisoner requests (as possible)
  1. Track incoming payments, donations

Store / distro fulfillment

  1. Contact stores upon release of new issue
  2. Mail out store / distro copies (received by mail and email)
  3. Track payments received; contact unpaid

Zine Reviews

  1. Mail out review packs to volunteers
  1. Track zines mailed, or quantity mailed
  2. Scan artwork / excerpts to potentially reprint
  3. Solicit reviews from foreign correspondents
  1. Track deadlines, issue reminders
  2. Type reviews received by mail
  3. Edit reviews upon receipt [currently done by Ryan]
  4. Correspond with reviewers via email
  5. Merge reviews and edit duplicated info
  6. Proofread final review section

Resources

  1. Seek out content for resource listings from various online and print sources
  2. Solicit content for resource listings
  1. Currently includes: zine events, stores & distros, zine libraries, review zines, online resources, postal rates
  1. Compile and edit listings for resource section of zine
  2. Compile and edit listings for website
  3. Solicit and coordinate commentary submissions or reprints

Letters / Classifieds

  1. Type up /edit letters received by mail, email
  2. Solicit for classifieds before new issue
  3. Type up / edit classifieds received by mail, email

Advertising

  1. Solicit potential advertisers, prior advertisers
  2. Respond to advertiser inquiries
  3. Receive advertising, ensure appropriate for layout
  4. Track payments received, issue reminders

Layout & Design

  1. Contact potential artists, artists for reprint
  2. Arrange art for cover
  3. Layout full issue [currently done using InDesign]
  1. Determine which art / excerpts to use
  2. Revise layout after final edits
  1. Transmit document for printing / duplication

        

Volunteer Coordination

  1. Respond to potential volunteer inquiries
  2. Solicit possible volunteers
  3. Evaluate sample reviews sent by potential reviewers
  4. Acquire bios and contact info from volunteers, update as needed
  5. Assign tasks to volunteers, coordinate
  1. Reviewer pool consists of 15-20 volunteers from US & various countries
  2. Other volunteers include proofreaders, artists, etc.

Website / Online

  1. Update pages on website as required [currently done by Denny]
  2. Add entries to blog when relevant
  3. Reply to misc emails or forward to appropriate person
  4. Post updates to Facebook
  5. Post updates to zine_world yahoo group
  6. Post updates / solicitations in various online places

Hi Jerianne, and all--

I asked to be a part of this google group because I want to see Zine World survive!  I have been involved in the zine world since 1983, it's my true home.  And since 1992 I've run the Spit and a Half distro.  This is mostly a comix distro, but I do sell a few non-comix zines.  That said, one thing off the bat I think I could help with is distro.  Spit and a Half is my job, I'm already receiving orders, sending out packages, and dealing with invoices on a daily basis.

PS, I'm not sure how to reply to all in the group -- one thing you should all know about me is I'm pretty old-school, more of a paper and pen kind of guy than a bits and bytes kind of guy.  I've sent this to Jerianne directly and to zine...@googlegroups.com.  Let me know if that's correct!  Thanks.

So I'll pose two questions:

Do you think it's possible to publish ZW as a collective, without a central leader in charge? There doesn't seem to be anyone stepping forward to be a primary coordinator.

Of the tasks Ive out lined below, which are essential? Which could or should be dropped?

These all seem like fairly essential tasks in order to keep Zine World running ... I think collectivism works best when people can work face-to-face and be accountable to one another ... otherwise if the work is going to be done mostly online someone needs to step up and be the overall coordinator and provide leadership / direction.

I agree that all of these seem necessary or ideal. Perhaps a coordinated effort could work online if larger tasks were split up. Much of the mail correspondence seems dependent on a central location to avoid confusion, so that would be one thing to consider. 

How did it work in the past? It might be easier to evaluate knowing how tasks were originally divvied up.

When the zine was being published in San Francisco, there were a few Bay Area people who helped out with some tasks -- all the mail-related ones, obviously. And there were others who worked remotely and we mostly communicated via email. There was one person who did the layout (who also coordinated with artists and helped with columns), one person who was the news editor, one who responded to advertising inquiries, one who was a 'word of mouth' editor. Some of the reviewers also lived in the Bay Area and therefore were able to help out with things like the initial mailout of a new issue, picking up mail, representing at zine fests, and so forth.

So, for people who are in the Portland area, who would be interested in helping out in what way(s)? If we held an open meeting sometime in the next few weeks, how many would be able to come? Does anyone have suggestions on ways to recruit other likeminded folks?

Wish I lived in Portland because I would definitely be on board. I have contacted a friend that lives up there to see if she knows of anyone who might be interested. As for remote location folks, I'm on board. I am happy to help out from this zine-dry area in the middle of the country.

Generally speaking it would be great to have more people in on this conversation. I think it's important to figure out a way to keep things rolling as soon as possible. It's likely that many people have come to depend on Zine World and the prison outreach should not be dropped. If nothing else, would it be possible to have some sort of supplemental Zine World newsletter that could be sent out until a group has formed that can take the lead?
