Hi, just wanted to explain here the [scan options] that you see in
your email capable connectors (Exchange or Gmail).
If you check "scan mailbox" options in your Exchange/Gmail connector
Yoxel will scan your mailbox (Inbox and Send Mail folders).
What emails it picks up from the mailbox is determined by the [scan
options]. An email that is picked up for importing is not just that,
one message, it is also a trigger for the thread discovery. Yoxel will
analyze what prior messages it was in response to and will try to find
all of them (scanning Inbox and Sent Mail folders). In the end the
whole thread of messages is imported.
1. Apply scan filters.
- If you set up your scan filters (see the Filter tab) they will be
applied to newly encountered messages and imported into Yoxel db
(after the thread discovery step) when a match is found. Filters
can also tag threads in Yoxel db that later can be translated into
tags for
contacts in Highrise.
2. Import flagged threads.
- Any time a flagged/starred (Exchange/Gmail) message is encountered
during the mailbox scan it triggers the thread discovery process and
importing
of the discovered thread of email messages. Careful with this one, as
Yoxel will bring all your flagged/starred conversations into Yoxel db
and later to Highrise (if forwarding is turned on).
3. Import threads related to existing contacts.
- This is a brand new mode, may need a few more tweaks but the idea is
that Yoxel will automatically import any email that mentions an email
address of a contact that already exists in your CRM Portal (Highrise
at the moment). Of cause thread discovery is run for any of those
emails.
Yoxel can import all these email threads into its database and once
you check "forward email" in your Highrise connector the threads will
be imported into Highrise. We try to preserve the thread structure so
a thread is imported into Highrise as one email record (usually the
earliest email message of a conversation) and multiple comment records
(one for each remaining message).
There is the 4th implicit mode of importing emails. Whenever a new
email is encountered by the mailbox scanner and it references one of
previously imported conversations (in reply to) it is automatically
imported also. That is what I call "conversation tracking".
