Hi Team,

As discussed in the monday meeting, we need to close the issue of the VENUE today. 

Following a discussion with Richard (TL South) this morning, I am still waiting on NARO rates from Susan and Matrich, to align together with Richard, but It appears we have been overtaken by events (in the positive Sense)


One of us (Harriet TL West) has offered to host us for the retreat to reduce or  possibly eliminate the cost implication. 

Please find the details of the offer 

1. Zero cost for Accommodation ( 15 Ladies and 8 Gentlemen in bedrooms/hind quarters)
2. Zero cost for meals (All 35 leaders on board will be guests of Harriet's Family)
3. Enough space for pitching hired tents in case we need extra accommodation. 
4. Close proximity (less than 800M) to homes of several leaders at West who can provide accommodation as an alternative to the hired tents. 
5. Huge meeting Room/Amphitheatre for Exhaustive discussions. 


Following My computations with Julie, it is very possible that all leaders can make it to this retreat at ZERO COST!


Team please advise regarding the above.

Dear all
This is a great idea but have you consulted the other leaders to confirm if they can host those that will not be accommodated at Harriet's residence.
The other thing to note is our agenda for the meeting, whether it wont be affected especially if we are not going to reside at the same place.

Esther those are valid points and thanks for your inputs.

I dont think the agenda should be affected, if the distance is close (approx 200m to 800m) Only Guys will sleep at the nearby leaders homes. There is enough room for all ladies to sleep in. Also the place is safe so leaders staying out can leave at late hours at the end of the days agenda, or come in early. But also option of hiring tents is still on the table.

The list of within a stone throws distance from the venue or slightly more include but are not limited to those below.

1. My place - confirmed.
2. Paul and Sandra Mulindwa -yet to confirm.
3. Sidney and Nelly Mugisha (former TL west)- yet to confirm
4. David and Alice Munaaba (VTL West)-yet to confirm
5. Robert Lubega (publicity west)

Again the idea is to reduce on the host such That all leaders can make it at such short notice.

I think if the leaders have said yes then we have to think about time keeping since we are all not to be in one home.

This is a biiig offer to us. Thanks to God. May the lord bless and multiply what ever you lay on hands.
However members, am of the view that we at least make a small contribution towards the meals. For accommodation, those of us who have tents can also offer. So that we can stay in the same place to better manage time and program.

As discussed NARO breakdown is as below. However Harriet's offer is still much better. 

1. Meals/Accom @ 66K Per person (Accommodation 20K, Bfast 6K, Break tea 5K, Lunch/Supper 10K)
2. Meals/Accom/Conf. room @ 76K per person (Accommodation 20K, Bfast 6K, Break tea 5K, Lunch/Supper 10K, Conf room 250K) 
3. Meals/Accom/Class. room @ 71K per person (Accommodation 20K, Bfast 6K, Break tea 5K, Lunch/Supper 10K, Classroom 150K) 

In addition to accommodation facilities available at Harriet's home (20 Slots) we will need to supplement with the following. 

1. Hiring Sleeping tent for 10 at 100K per night.  0771666860 Patrick (Ideal tents Industrial Area.) 
2. Hiring Sleeping tent for 3 people at 30K per night.  0772430587 Grace - (Backpackers Mengo) 
*NB: If anyone owns a sleeping tent they can also advise on how they can add this to the pool of tents. 
3. Hiring 40 Plastic Chairs @ 500 per chair per day for a total of 40K for 2 days (Tents for Hire-Lungujja)
4. Any other supplementaries required to be discussed by between Harriet/Sandra/Juliet. 

A total of 6 slots have also been confirmed in the homes of nearby leaders available as listed below. 

1. Mr and Mrs Munaaba, Slots available-2, Gender preference (Male or Female)
2. Mr and Mrs Mulindwa, Slots available-1, Gender preference (Female) 
3. Robert Lubega, Slots available-1, Gender preference (Male) 
4. Douglas Nidoi, Slots available-2, Gender preference (Male)
