JOB DESCRIPTION: Temporary Administrative/Operations Manager

Start Date: Late November to early December

Work Location: Remote

Hand in Hand: The Domestic Employers Network is a national member-based organization committed to building a more just and caring economy starting in our homes and communities. 

Hand in Hand organizes people who employ domestic workers—  nannies, house cleaners, and home care workers— to make their homes fair and equitable workplaces, as well as to stand in solidarity with domestic workers in their fight to win legal rights and protections. Hand and Hand works closely with our sister organization the National Domestic Workers Alliance, and is committed to righting the historic wrongs, rooted in the legacy of slavery, that omitted domestic workers from our country’s labor and civil rights laws. 

Hand in Hand also works on campaigns that fight for public investment in care for families, people with disabilities and older adults. This includes expanded access to home care and childcare as well as family-sustaining wages for workers. Our work to win policy and culture change is rooted in our core values of workers’ rights, social justice, interdependence and collective power.

About the Temporary Administrative and Operations Manager Position:

The Temporary Administrative/Operations Manager (A/OM) will play an essential role in supporting core operational processes. The A/OM will manage and coordinate HIH’s operations; maintain the EveryAction system; coordinate routine financial matters; support fundraising activities; and provide general administrative and program support. The A/OM will report to the Executive Director.

The position is temporary and part-time, 20 hours a week for four to five months from the end of November 2021 to April 2022.

Key Job Responsibilities

  1. CRM maintenance (25% ) an average of 5 hours a week
  • Routinely mass upload and manually enter contact data;
  • Support Team members as needed
  1. Manage and coordinate routine finance matters (25%) an average of 5 hours a week
  • Manage timely reimbursement check requests and payments;
  • Manage credit card reconciliations;
  • Manage financial tracking and compliance materials with HIH’s fiscal sponsor;
  • Manage invoicing;
  • Manage regular billing for things like domains, Zoom, etc;
  • Make payments for purchases using company card (keep all receipts)
  1. Manage and coordinate office operations & filing systems (25%) An average of 5 hours a week
  • Order/maintain office equipment, HIH program materials, office supplies, software etc.;
  • Manage Zoom accounts and setting up Closed Captioning;
  • Support filing systems like Google docs and Dropbox;
  • Support staff and notify when updates are needed.
  1. Provide general administrative support (25%) An average of 5 hours a week
  • Draft correspondence;
  • Assist with meeting scheduling and logistics;
  • Assist with program meeting support (such as video call support and meal orders for virtual meetings and copies and meeting arrangements when in person operations resume);
  • Assist with providing technology support;
  • Other day-to-day administrative matters.

Desired Skills / Qualities

  • Significant experience with CRMs – ideally EveryAction
  • 3+ years comparable administrative/operations experience
  • Excellent relational skills
  • Expertise, skill, interest, and commitment to doing administrative work
  • Experience in managing multiple projects and tasks
  • Excellent attention to detail and well organized
  • Skilled proficiency with technology and computer operations and programs, specifically: Google Drive, Dropbox and Mac products
  • Experience with both 501c3 and 501c4 organizations a plus
  • Systems-oriented, driven, able to work independently in a completely remote work environment, highly organized, and able to maintain a high level of discretion around HIH’s operational tasks and information
  • Positive attitude and proven ability to work in partnership with different teams and staff members
  • Agreement and alignment with HIH’s mission, vision and values
  • Experience working with a national team

Some knowledge of or experience with workers’ rights, immigrant rights, women’s rights, domestic worker and/or caregiving field issues will be an added asset for any candidate, but these skills/experience are not required.

Compensation, Benefits and Work Schedule: This is non-exempt, part-time (20 hours a week) and temporary position with paid time off, including vacation, sick leave and holidays.  The hourly wage will be $30-35/hour depending on experience. Work schedules may include evening or weekend hours based on need.
