Hello all, 

I hope this email finds you well. Thank you for the discussions about the email  'the new start, yMWIA 2013'  which I sent you before. As I have learned a lot of things from you, more discussions are always welcome. 

Here are my thoughts and please give your ideas whenever you have.  


1. Membership verification process 
In my opinion, the door of yMWIA should be always open to all the female doctors and medical students. So I would like to keep the way what we're doing, however if you have any further ideas to process more efficiently and effectively, just share with us. 

2. Membership lists
Charlotte has managed the membership list as a form of excel file. It will be updated by her and I expect she will share it with us. Thank you, Charlotte for your contribution.  

3. The interval of newsletter 
As I understand that we are busy people in each country, shortening the interval seems difficult. It's better to publish the newsletter every year at this moment, but if we have more capacities or reports near in the future, we will be able to consider it. 

And I'm supporting Charlotte's suggestion which is each of us contribute a 250 word max introduction of themselves in the next newsletter. As Pam is a newsletter editor, is it OK to send it to you? Please let us know who will take this role and give us the deadline for the next newsletter. 

In addition, I'm going to ask Korean attendees if there is any volunteer who would like to make a report of MWIA Seoul congress. 

4. Distribution of yMWIA newsletter
We need more discussion, but if there is nothing to be decided, I'll follow the current system which is distributed by email, facebook community and uploading webpage in MWIA homepage. Because I don't want to create so many different communication channels of yMWIA. 

5. yMWIA Webpage update
There are something to be corrected, is there anyone who will take a role of updating webpage? Also I'm always happy to help you with the work or I can do it by myself. I've attached a word file including some corrections in red color. Please check it and give us more opinions.   

6. Shelly's question (The Secretary General in MWIA) 
She asked me whenever she get some requests from young doctors to join yMWIA, what is the process we recommend? As I know, the one who request can send email to Charlotte or go to facebook community via yMWIA webpage.  Please let me know what is consensuses and official answer from Shelly's question.

As I mentioned before, I think an online sign-up process would be best given that we are all over the globe. I can create an online form and then we can have it linked to the website. Let me know your thoughts on this.

For posterity, it is probably best to have an online database where future leaders can access this information. This is as simple as copy/pasting the current excel list into a google document.  
 
3. The interval of newsletter

I suggest MailChimp. It's a great way to get Newsletters out via email and without an attachment. It also looks very professional as well. I will send along an example of an AMWA one we used.

Hi Girls,

1. Membership 
I'm not quite clear at what you're getting at here. Official membership is arranged by MWIA. We keep lists for communication purposes.

2. Email List
It might be best to streamline communications by having one person responsible for mailouts - but may others feel differently? 

3. Newsletter
It is published biannually. I think you may be mistaken. Charlotte and I have a submission system in place. We can send it out on short notice. Articles are directly uploaded by authors. The student organizing committee usually sends a report. 

I haven't set a deadline because we have been discussing changing the interval. If everyone agrees, the next submission deadline can be Nov 30th.

4. Distribution
Agreed. 

5. Website
Shelley Ross is in charge of this. We submit materials for the website to her.

6. New Members
It's funny, I have given Shelley this info before, but I think she might be wondering if there is anything new to add. 
The previous answer I gave her was to email Charlotte so they can be added to the mailing list and she forwards them some info, which includes the facebook page. 

As for online membership registration - I think this is a good idea, but should be the same for all members and be hosted on the MWIA website itself. Remember that we are a subdivision of the MWIA, so we can't do a lot of entirely independent things, we obviously rely on our mother organization for credibility. 

I'm not sure what this would add, but if you think it's valuabe, we can approach Shelley.

I would like to hear everyone's ideas about new initiatives or campaigns focused on this year's theme of Violence.

Thank you for sharing your opinions. Here are my additional thoughts after reviewing and considering your opinions. 

 

 

1. Membership registration

 

I appreciate Linda volunteering to set up a new online system.

However, as we know, the official membership registration process is arranged by MWIA through its term of reference. At such time as yMWIA becomes a more active and larger group, we can then consider setting a separate system ourselves.  

 

2. Membership list / Email List

 

I agree with both Linda and Pam's idea. So why don't we create a google document? 

 

If Charlotte agrees to it, I can help her to make one. I think it would be better to have the membership list opened to all executives but managed only by Public Relations Officers.  That way it would have a single source of input which would eliminate potential errors.

 

3. Newsletter

 

I think keeping the interval of our newsletter the same as before is reasonable. I realize that I didn't have enough information about process of publishing the newsletter. Pam, could you let us know how the submissions occur? Where and how can authors upload their articles directly?  Seung-Yon and I are collecting essays from Korean medical students who attended the MWIA conference. I expect we can forward the essays to you by mid-December at least. However if you introduce an upload system, we can then ask the authors to do it by themselves.

 

As for the writing about the chair's greeting, I'll send it to you by the last day of November.    

 

4. Distribution of Newsletter

 

Mailchimp would be a good choice. Linda, can you introduce the system and how to use it?  Isn’t it complicated to follow the process?

 

5. Website

 

What we can do to update the website is just to ask for input and deliver a list or materials to Shelly. I hope one of the Public Relations Officers would do this, or I would take this role. What do you think? 

 

6. New Member's request from Shelly

I will give confirmation to Shelly that there has been no change.

I really think we need to take steps forward to make the joining process easier. I do not think the current system fits the needs of our colleagues. I feel pretty strongly about this and would be happy to advocate for yMWIA to the MWIA board if necessary.

Let's also create a folder on Google Drive instead of using dropbox.

1. Membership - I think getting people on the ground to promote the organization and host events would
be effective use of our time, but if you feel strongly about the registration process, feel free to move forward on this. I just don't know what the yield will be for current and potential members.

2. Member list - similar sentiments, but again move forward if you feel there is benefit.

3. Newsletter - I have delayed moving forward on this because of uncertainty with how we would proceed.
I already have a google form that we use for submissions. Can activate this when we feel it's time to get started.
Great work on recruiting articles! 

4. Newsletter format - I mentioned this to Shelley at another time, she felt mailchimp caused the branding of MWIA to be too similar to AMWA and this is why MWIA does not use this. 

Great work team, hope we can keep our members engaged. Feel free to share interesting articles and 
opportunities on the facebook group, I try to keep things active, but it always helps to have others involved too.

Shout out to Rosemary who is likely the most active person - I don't know how you do it!

(Today's my 'catch-up on yMWIA day'~ )
 
Here's my two-cents on our discussion:
 
1. Membership verification process:  I think we should have at least have a simple form that members can fill out, via online or email, so that we can keep better track of our members. So I was happy to read Linda's offer.  Is there some way we can combine it with our current facebook group page, so that someone interested in joining the group can fill out the form as part of the request to join the group? 
Especially, considering it is a women's group, we should at least make sure the member is female and in the medical profession be it a MD or med student.  I bring this up because recently there was a request on facebook and the person's name was 'Ken', and although I'm sure it could be a female name, I was a bit doubtful and the person's profile picture was of a male, so I wasnt sure if it was appropriate for the person to join. Nevertheless, someone verified him/her.
 
2. Membership lists: I am slightly confused as to who's role it is to manage the membership list. I think it seems most appropriate for the public relations officers to do so, but if it has been the secretary's role in the past, I am happy to continue the role. I still have the stack of 'registration forms' from the Seoul congress beer party to go through and compile, so once I receive the previous member list from Charolotte, I will compile all of the information and share it as soon as I can.

3. The interval of newsletter: I agree with Deborah with keeping the interval to an annual publication at the present time. Perhaps if we have urgent additional messages to send out, we can just send those out separate to the newsletter via email and as a facebook post. And I had forgotten there had already been a suggestion for a short write up from each of us for the letter. I guess we think alike. A 250 word post sounds good to me.
4. Distribution of yMWIA newsletter: I believe Pam clarified the current situation. So perhaps just keep the status quo? Although a html version that opens up right away would be definitely more sophisticated, I think our pdf files work just as well.
 
And I just want to add one more thing.
 
Regarding our facebook group, it is currently an 'open' group so that anyone can come view its content and members.  I dont think this is appropriate for a relatively professional group.  What are your thoughts on it being a closed group but a search-able group to anyone on FB?
