Hi leaders,

please see below,

how many do we think we will have at camp?
we need to plan out meal times etc - to align with the covidsafe policy
how does this affect sleeping arrangements?

Hello Hai-Anh

You are currently confirmed for April 9 – 11th April, 2021. I have attached our current CovidSafe Plan (which will be updated before your camp in April) along with the Acknowledgment Form for that plan which will need to be signed and returned to us before your arrival.

At present the rules around camps are as follow:-

Scout bookings – any number but must be in designated groups of up to 30 each, no more than 15 in any single indoor space (e.g. bunkhouse). Above 100 needs to be agreed in advance by coron...@scoutsvictoria.com.au

You have indicated you will have 50+ attendees. With present restrictions you would not be able to sit all of those in Troop Hall for a meal. You would need to have two meal sittings or eat outside if possible. This of course may also change before your camp.

Kind regards

Hello Grant & Jenni,

I hope you are well. Due to the Coronavirus challenges our group has made a decision to not go ahead with our group camp.

Are we able to move our deposit and booking to next year? Friday 9-11 April 2020.

Thank you for understanding and we hope that you will be able to accommodate this request.

Take care and stay healthy x

Regards,

Hai-Anh

Hi Hai-Anh,

Your group is booked into the Lodge building that sleeps up to 12 people for the following dates :Friday 27th -29th March, 2020.

You also have the campsite nearby the Lodge building.

The campground at Cyril Smith is another option as this has the Money box building kitchen available for your group to use.

The Lodge building has  a small fully stocked kitchen.

How many people are intending to stay over the weekend? You have written 50 people on the booking form. This should cope quite well in these two areas. There is an amenities block in Cyril Smith that you will be sharing with another group who are in the Troop Hall building.

Hope this helps with your estimating of tents.

I have attached a guest pack with a guest register that needs to be filled out and a copy placed in the red sign in book upon arrival. This is a new requirement as part of our conditions of hire.

Hello Jenni,

Can you advie if we will be able to use the Money Box Building?

can I confirm the Lodge has a full kitchen?

So in total we only have 14 beds (Lodge) ? So I know how many tents to prepare for.

Thank you.

Hi,

sorry for this late response, we have been trying to sort out our bookings.

As we have another group in the Troop Hall & huts on the dates you are here, we have come up with an alternative plan.

Your confirmed booking is as follows:

Fri 27th - 29th March, 2020. Lodge building using campfire circle for overflow of campers. I have also placed you into the Cyril Smith campsite and using the Money box building( I will need to confirm with Geelong members if this is ok for you to use) This will mean that we break your group up into 2 smaller groups but are relatively close by. The Lodge building with amenities will not be enough for the amount of people your group has. The Cyril Smith campsite will use the amenities block there and the Money box building has a great kitchen and open area inside for all your group to gather. You get the best of both camps this way.

I have attached a guest pack for you to read through. It has maps for all your guests and emergency procedures. There is a guest register that will need to be filled out and a copy left in the red sign in book upon arrival. Please note who will be camped in what area.(or maybe printout 2 ).

We do have some poles etc. for scouting groups to use as long as they are packed away.

Hi,

Troop hall has a tentative booking so I can find out soon if they are confirming.

The Lodge building is available  (sleeps 12 people ) and camp fire circle is next to it so some choose to use both.

Cyril Smith campsite is available as well as Fernery campsite.

Cheers,

Jenni
