Hello all --

T'giving sneaked right up on me! It's early this year. I'll be visiting my mom in FL for the holiday.

Jack is out of the country from Sat.Nov. 9-Mon Nov. 26. Except under extreme conditions he will be unreachable.

I'm in FL from Tuesday Nov 13- Monday Nov. 26. I will be available via cell phone and email. I'll be working in the mornings and evenings.

I'm going to drop Andrew a note on Tuesday letting him know Jack and I will be away.

Dear Ann,

Thank you for the notice about yours and Jack's upcoming travel plans and for the invoice.  Good to know you will be communicating with Andrew about your travel plans as well.

We have a few questions about the invoice which would be great to get answered before Jack leaves town, if possible. While we all agree that CC has contributed significantly to our ability to move this project forward (it is clear we would not be here without you!) we are concerned by the lack of detail in the invoice and the fact that we have used up so many of the 50 hours without having begun the MOU.  To help us in our learning process, it would be very helpful to have a more regular reporting of the hours you are spending on our project and what you are doing.  We certainly do NOT need an accounting of every minute, but it would be very helpful to know in smaller increments how your time on this project is being spent.  Our original Memorandum of Agreement states "Remaining [hours] to be billed bi-weekly as work is done." My apologies for not pointing this out sooner.

As for this invoice, could you please clarify what is meant by "document preparation"?  To which documents does this refer? We understand that a lot of time was spent on the concept design plan.  It is our understanding, however, that this work was included in the original $3600 fee for the Concept Plan Workshop.  Is this your understanding as well?  If not, please elucidate.

The group is very excited about what we have accomplished since we began working together and everyone appreciates the guidance you have provided us.  We look forward to your response to these questions.

Hello Abby!

Did you get  a piece of the Nor'easter that blew through adding insult to many injuries?  We just got cold weather, rain and several damp, grey days.  Very grateful.  Hope you and all escaped as well.

Life is a little crazy here w/ both Jack and I departing for two weeks, however, we did talk about this on our regular partner conference call.  

The core contract for the Work Session did indeed include an electronic cleaned up version emailed back to the group.  That was the initial concept sketch sent shortly after -- that was the "clean electronic copy" referred to in the MoA.   The sole purpose of that was to verify quickly for the group, attending and not, what had been sketched and what could then be used as a basis for the core element we needed to create for the Pitch Package which was the Outline Specification and Concept Plans.  

The Concept Plans and the Outline Specification are clearly a more robust work product then 'cleaned up electronic sketches' and were also clearly critical to ascertaining the scope of work and costs that Andrew will estimate for the group. This then will also determine the possibilities of going forward with an MOU and beyond.  

The "document preparation" was the drawing of the concept plan and the multi-page specification document that was sent to Andrew.  Multiple people worked on these documents and both docs were reviewed by three people.

When Jack gets back in town we will send you a more detailed invoice.  We will make sure to invoice you every two weeks as per the agreement when there are billable hours.

We want this project to go forward.  We have not billed for every minute we have spent on WVC.    If we did ... we would have long been outside the 50 hours.  It's our contribution to the effort and our way to demonstrate our competence to the group.

Andrew emailed me Wednesday, I believe, saying he would be sending the projected costs that night but I have not yet received anything.  Have you?   I will email him shortly to follow up and see where he is in getting the response to the package to you and us.  WVC has come a long, long way.  We are all eager to find out what the budget shows us.

Thanks very much for the explanation, Ann, and for the more detailed invoices to come.  It's all a part of learning how to work together.

As you may have noticed, WVC is a thoughtful and cautious bunch that really likes to know exactly where its money is going.  At this point, we assume that the final 20 hrs of our current contract with CC will be spent on drafting the MOU with Iron Stone.  Is that your understanding or do you see some other task(s) that will need to be accomplished between here and there? Of course, this all assumes the budget Andrew creates fits our needs.

Speaking of which - I have not heard from him at all since my last communication.  Have you? I will email him today.

Finally, we are in hot pursuit of several lawyers as we search for the one we will hire to help us with the MOU and other documents.  To help us with the interview & selection process, could you please give us your perspective on the following question:  What are the things we will need our lawyer to do over the next 3-6 months(assuming the best with Andrew)?
