Hey all,

Was sent this a couple of days ago....  I'm going to assemble a task list based on Jason's below this weekend and get some milestones sorted out and put up on a wiki.

Does anyone have anything against using something private for important information? We could set up a private blog on WordPress.com if it suits.

I haven't had a chance to call vic library yet. I hope to do that tomorrow or Monday, and I'll update you guys when I get around to that.

Dear Jason,

Thank you for your enquiry into our venues at the State Library of Victoria. You can find our function kits at http://www.slv.vic.gov.au/services/business/venue_hire/guides/

Please follow the link to the Conference Centre Kit.  

Included in the kit is menus from our caterers, Mr Tulk and food&desire, as well as our terms and conditions.  


We currently have another client with a tentative hold on 27 November, the only Saturday we have available is 4 December. Let me know if that date would suit you and I can place a tentative hold on it for you.


The Village Roadshow Theatrette (VRT), can accommodate up to 210 pax.

The VRT is hired at $220.00 per hour with a 2 hour minimum including...

- Basic audio visual package (lectern, data projector, screen, microphones, CD/DVD player, laptop, remote mouse)

- Furniture (registration table, panel table OR lounge chairs on stage)

- Venue staff for event set up, supervision and pack down

- A half hour bump in/out allowance either side of the booking

- Use of the adjoining foyer which can accommodate up to 100 pax for catering purposes

Should you require catering space for more than 100 pax we require you to book seminar room one as a catering overflow area, at a rate of $87.50 per half hour.


Audio Visual/Digital Media
Our venue staff (inclusive in the venue hire rate) are capable of running simple AV shows, for example one form of digital media and microphones.  Should your AV requirements be more complex, such as multiple forms of digital media or a large range of microphones/panel speakers, we highly recommend you engage our senior digital media technician, at a rate of $220.00 for two hours and $66.00 for each additional.
We require all digital media materials one week in advance in order to test, where possible.


In regards to internet access, please note we cannot guarantee wifi access to all of your delegates and event. Our Conference Centre is not included in the wifi area, although past events have been able to pick up the wireless from the main public source. By relying on such a source that is used constantly by the public, the internet may be slow and their may be connecting issues.

What do you mean important? Like your Credit Card details... or your undies size ;)

I don't see why we'd need one "yet" and maybe I'd say we cross that bridge when / if we come to it. The only benefit I see for a websute is like a Wiki or something where we can take stuff that has been approved by the group. And then we put it on the Wiki once its been crossed off as something set in concrete.

Just my 2c bro. Loving the soccer right now eh ;)

That's lolling like some seriously productive activity, there. Well done all of you for starting the WP ball rolling. I'll definitely be attending an would love to help promote it after the date and venue are confirmed and you have a comm strategy to follow.

Agreed. Anthony - I also noted down the list of tasks/roles which people had volunteered for in our meeting this week and will post it to the list when I have a minute to do so!

Hi Anthony,

I vote for a private option also, something like basecamp perhaps, would be great if they could sponsor that perhaps, good promo for them. 
I am happy to contact them if the idea gains any traction.

Agreed. I use BaseCamp and happy for a project to be setup and used if that works for everyone.

I think we should try using Prologue 2 on WordPress.com... it's better for distributed stuff like this vs. client management/project management in my opinion. 

We could give basecamp a shot, but with so much stuff going on it might be easier to use P2. Anyone against it?

We'll probably still use the mailing list, but when it comes to dealing with potential sponsors and a few other *tidbits* it's best to keep a lid on it until things are confirmed. 

Even the WP core commit team doesn't share _everything_ going on. It's not good practise.

Happy to use Prolugue 2, kind of feels better to using a WP tool for a WP event too.

Haven't used it before so would love to learn some new tricks as a bonus
