If you've ever sent an email attachment through Outlook 2016 that exceeds the allowable attachment size and you're on a Mac, you will end up with the dreaded "The total attachment size exceeds the limit. Try removing one or more attachments before saving or sending" error notification.

You receive this error message because Outlook 2013 and later versions have a default attachment size limit of 20 megabytes (20480 KB) for Internet email accounts. This limit prevents your computer from continually trying to upload very large attachments that exceed the limits of most Internet service providers. This limit applies whether you are adding one large attachment that is greater than 20 megabytes (MB) or several attachments whose sum total size is greater than 20 MB.

If you are using an Exchange Server mailbox, you receive this error message (by default) if you attach one or more items to a message, and if the sum total of the attachments is greater than 10 MB (10240 KB). This attachment limit is not related to the limit in Outlook for Internet email accounts. This limit for an Exchange mailbox stems from the Maximum send size setting that is configured in the Transport Settings Properties dialog box by the Exchange administrator (Refer the following screenshot).

Value type: DWORD
Value name: MaximumAttachmentSize
Value data: An integer that specifies the total maximum allowable attachment size. For example, specify 30720 (Decimal) to configure a 30-MB limit.

If you are using an Exchange Server account, the 20-MB attachment limit for Internet email accounts is not used by Outlook. Instead, Outlook uses the limit that is configured on your Exchange server. To modify the setting that is used to control the size of a message that is sent through an Exchange Server account, follow these steps.

Another option is to use a third party product like Attach2Cloud, this product allows uploading to OneDrive, SharePoint or Teams the attachments directly from inside Outlook in a few seconds through a very easy-to-use control center.
The limit of the attachment size is then the limit of the size of the cloud service (which is huge and could be 250GB for OneDrive by example! )
And the mail that goes through the servers is only a few kb only as the attachments are links to the cloud service.

Sadly, due to mail server restrictions, the default max attachment size limit of files attached in Outlook is 20 megabytes (MB). This attachment limit applies to both Outlook and Office 365 versions of Outlook.

Outlook limits the size of files you can send. This limit prevents your computer from continually trying to upload very large attachments that exceed the limits of most Internet service providers. For Internet email account. such as Outlook.com or Gmail, the combined file size limit is 20 megabytes (MB) and for Exchange accounts (business email), the default combined file size limit is 10 MB.

When you compress, or zip, your file, it decreases its size, and it might decrease it enough to fit within the Outlook size limits for attachments. The following articles describe how to compress and extract files for different Windows operating systems.

Theoretically, there is a limitation to the amount of data a person can be sent via an email. But in practices, most email services provide limit the size of attachments that are transmitted through their serves and email clients.

The good thing about Outlook is that it allows you to increase the size of email attachment size limit. All those changes can be performed by editing entries related to Outlook from Windows Registry. So, put on your geek mode. If your email server supports large attachments (if you are sending through some self-hosted email services), here are the steps you need to follow to increase Outlook attachment size limit:

is this a stand alone server? Is there anything used for virus / spam filtering? a lot of 3rd party apps or stand alone devices can do this too.

Take a look at Chris' suggestion, if you use an SMTP relay for incoming email then the limit may be being imposed by them, look at your MX records for your domain and see if they are pointing directly at your Exchange server or whether there is something else in the middle (ISP/Spam filter/firewall/gateway, all can be checking incoming emails and applying there own attachment size limits).

Some of these emails somehow had attachments way over the limit size. Not sure how they even got into the mail system (some over 40MB size). They are now clogging outlook and it refuses to work until those emails have been addressed.

If you are using an Internet email account like POP3 or IMAP, Outlook has a default attachment size limit of 20 MB. In contrast, if using an Exchange email account, the size limit is 10 MB. Thus whenever you attach files whose sizes are greater than the limit, you will definitely receive the error shown as below. You can get rid of it by changing the attachment size limit.

Important Note: Changing the attachment size limit in Outlook does not modify the limit set by your ISP on the mail server. If their limit is set to 10MB, you will still fail when trying to send a file larger than this size. In this case, what you can do is only break down the large attachment.

To resolve this, find out what the maximum attachment size limit on your email system is. Then open the Advanced Config Editor and search for the key system.scan.email-max-job-size-kb. The default value is 20480 KB, but you can increase this to match the maximum allowed attachment size on your email system. If a user scans a document that exceeds this threshold they will receive an email notification from the PaperCut server via email to let the user know:

Step 5: Double click the new DWORD to open the Edit DWORD (32-bit) Value dialog box, check the Decimal option, enter the attachment size limitation in the Value data box, and click the OK button. See screenshot below:

After changing the attachment size limitation in the Registry Editor window, attachments will be inserted successfully only if their sizes are less than attachment size limitation. See the following screenshot:

With above method to increase attachment size is a little complex, but if you have Kutools for Outlook -- a handy Outlook add-in, you can change the attachment limited size as you need in few clicks.

2. In the Options dialog, click Other tab, and enter the limited size you want to change to into the textbox besides Maximum Attachment Size section. For instance, here I change the attachment size to 10MB (10240KB). See screenshot:

You learned how to change attachment size limit in Exchange Server. First, run the four commands in the article to check the max send size and max receive size. After that, adjust the values with Exchange Management Shell or in Exchange Admin Center. From now on, users can send attachments higher than the maximum size limit of 10 MB. Email was never meant to be instant, so if emails or even returned emails do not come back immediately, it is neither uncommon nor an issue. It seems the attachment size for the receiving server is hard set for their security reasons so you would just need to know the size limit. Perhaps you can compress the file to be under that limit.
