iCloud and Outlook are two of the most popular apps for storing contacts. Sometimes you choose one system for all of your devices, but other times you end up using both. Maybe you're using an iPhone with a Windows laptop, or Apple for work and Microsoft for home.

This is where challenges can kick in. You might have two totally different versions of your contact data in iCloud and Outlook and be unsure of which one to trust. Or, you might have contacts that are accessible in one platform but not the other, making it difficult to keep in touch with the right people wherever you are.

Often an import/export is the simplest option for a one-off transfer of contacts between apps, but with Outlook and iCloud it's much more complicated. This is because Outlook uses a standard CSV file format while iCloud uses vCard (.vcf) files. For a manual export from iCloud and import into Outlook you need to:

iCloud for Windows is an app that's specifically designed for you to use iCloud on your Windows devices. With iCloud for Windows, you can sync your mail and calendar as well as your contacts with Outlook, so both apps are kept up-to-date. Here's how to get set up:

Next to that, the best way to manage contacts is by centralizing them within a CRM. There you can visualize and control the relationship with your contacts from start to end. Your CRM should be in sync with all the other systems where you or your team interact with contacts, including Outlook, iCloud, or both.

Native integrations and iPaaS are good solutions to keep databases in sync. If you think connecting your entire iCloud or Outlook contact list with your CRM would be completely chaotic, make sure you use a solution where you can filter the type of contacts you need to sync. Establishing actions and workflows between apps can also be helpful to automate processes and improve the way you organize and manage your contacts.

How does one export all contacts from iCloud in some sort of standard format? I would prefer to keep a backup in case my sync goes bad and I'm yet to find a way to export all my contacts. I would hate to lose hundreds of contact details if my sync from the iPhone goes bad.

Luckily they were stored in the Cloud with the old iTunes ID. If you log into iCloud and select all your contacts on the settings button (bottom left) it says Export vCard. Click this and you can Export all your contact information as a .vcf file which you can then back up onto an external harddrive etc...

The way that I did this was to use my contacts app, and simply use the file export function to export the contact list. At any point you can always reimport the file that is produced with this. (I did this AFTER connecting my contacts app with icloud)

However, even when you have the latest version of iCloud installed, it may not work directly after upgrading to Windows 10 or applying a major Windows 10 update. Luckily, and with a little bit of persistence, you can get iCloud to work again and get it to sync with Outlook as well.

I have been testing since we would like to get our users to use the Outlook mobile app. I ran into a issue with Contacts. If I add acontact to my 365 account from my pc it does not sync to my outlook appcontacts on iOS. Once I add a contact on pc I then search under people in outlookapp and I see the name only and no other contact information (it does ask if I want to add it but that makes a duplicate). If I look at mycontacts in the outlook app for iOS I do not see the new contact. If I go intosetting in the app and "reset app" the contact shows up. I would like to not use the nativeapps on my iPhone if possible and only use the outlook iOS app for all 365mail, Contacts and Calendars. Sync is working very well with native iPhone Contacts but not preferred. Is this normal? Can it only push contacts after reset app or during set up of account?

Thank You both For your reply. Chad after your reply I tested again and it worked immediately so I added a few more contacts to my PC (outlook) but the results were not good. So as Ivan mentioned I waited. First the name only came up when I searched but eventually they all showed up in my contacts in the outlook app on my phone. I noticed that some had duplicates at first but waiting longer resolved that issue. I have been using the built in iPhone apps for 10 years and the sync has always very quick. What I found that works best for me was to set up the iPhone native Contact APP to login to Exchange directly and set my default Contacts as the exchange account (I did the same for Calendar as well for now), The sync happens very quick in both directions with the built in APPS. With our MDM I deleted the Native mail APP on my iPhone forcing me to use the outlook APP for my mail (also set outlook app as my default mail APP). I used it all day yesterday and this seemed to work well. I feel the outlook mail app works great (but need a few more days of testing) and I like the search feature as well but contacts need more work. If this works for me maybe I'll try Outlook App only on my next NEW user. As it sits now it would be a tough sale for the existing user to give up the Native Contact APP but a compromise will works for me.

Luckily, we are not limited to using only the tools provided explicitly by Outlook. With a bit of ingenuity, you can figure out a way to solve any, or nearly any, challenge that comes your way. This tutorial will teach you how to check Outlook contacts for duplicates and merge them without using any third-party software.

For more details, see How to import contacts to Outlook from CSV file.

  • Merge deduped contacts with the original ones. Finally, you need to merge the deduplicated contacts that you've imported to your main Contacts folder with the original contacts that are currently in the Merge dupes folder, so that no contact details will get lost.

Though the Link Contacts feature is not the ideal solution for cleaning up a large address book that is cluttered with duplicates, it can be a useful tool for quickly merging a few identical contacts into one.
How to prevent duplicate contacts in your OutlookNow that you've successfully eliminated duplicate contacts in your Outlook, it's worth taking a few extra minutes to learn how to maintain a clean address book going forward. Fortunately, this can be achieved easily by enabling Outlook's automatic duplicate contact detector. Here are the steps to do so:

Congratulations! You've successfully enabled the automatic duplicate contact detector in Outlook. From now on, every time you add a new contact with a similar name or identical email address, Outlook will suggest merging contacts to prevent the creation of duplicates. This simple step will help you keep your contact list clean and organized in the future.

The outlook solution worked for me...after I spend 3 hours figuring out why the Duplicate Contact Detected Wizard didn't show up! I finally figured out that there is a Outlook 2016 setting in "Options - People"-- check the "Check for duplicates when saving new contacts" box!

I have a number of contacts in which I will have pasted small image files in the Notes field. This would be such things as a business card scan, or some important notes gotten from a web site. Will these images survive your procedure for elimination of duplicates? If not, do you have a suggestion as to how I can preserve them with the appropriate contact?

This post and string is insane. The steps are silly long and complex for most users. It is easier to live with 2 contacts for the same person. I just switched from Google enterprise. Google did a one button FIND & MERGE to make this happen. It also linked to my LINKEDIN and if someone made a change to their profile like job or title. Find & Merge would change and update. All with one button.

As a workaround you can create a custom category for the contacts from each Folder Group and assign it to all contacts from this group. The Categories field will be exported with all information and you will see which group a contact belongs.

Hi this works great for Contacts i went through the whole tutorial and it worked perfectly, now how do i put all these contacts into the separate ms outlook "address book" which appears to be the old contacts with all the duplicates in it?

excellent post ! i know now some app on the android phone can eliminate contacts on the phone. this is a solution for the duplicated contacts on the outlook. Also the mostly common that people duplicate their contacts due to copy the same contact to different folders in order to group or organize the contacts. If you don't want to create duplicate contacts the most acceptable way is to add a "category" for your outlook contacts. you can then view if by grouping the category .

I deleted the company email in my GM's mobile as we migrated our mails from Managed Microsoft email services(POP3) to Microsoft Exchange.

I have Outlook 2010 for windows and also use icloud. Under Outlook I have "Outlook" files listed under My Contacts and "iCloud" files. I prefer to use the iCloud files so that info will go to my iphone. I also have folders created for different types of contacts, i.e. Christmas Card, Teams, etc. Is there a way that my contacts won't be duplicated if they are in more than one folder?

Hi
Great stuff, used the merge duplicate contacts in 2013 and it worked a treat. Not sure why you need "merge the dupecontacts with the original" stage but i followed every step and it worked just great.
Thank you.
