CALL FOR MEMBERSHIP NOMINATIONS FOR 2011-12

The Chancellor's Advisory Committee on the Lesbian, Gay, Bisexual and Transgender Community at Cal (CAC-LGBT) invites membership nominations and self-nominations from faculty, staff, and students who are committed to LGBTQQIA equality and who seek leadership experience and service opportunities on the UC Berkeley campus.

Since reconstituting in 2007, the CAC-LGBT has been effective in helping to increase the visibility of the contributions as well as concerns of LGBTQQIA staff, faculty, and students among Berkeley’s initiatives for diversity, equity, and inclusion.

Qualities sought
 
§  Familiarity with LGBTQQIA issues.
§  Experience in some facet of LGBTQQIA community organizing, advocacy, or service
      (on campus or off campus).
§  Willingness to seek information and direction from the campus LGBTQQIA community and
      to encourage collaboration and consensus-building.
§  Ability to represent and articulate the collective perspectives of the Committee.
§  Commitment to work cooperatively with all campus constituencies to further the campus’s overall diversity goals.
 
Commitments required
 
Be able and willing to commit to
§  serve a term of one or two years (renewable). 
§  be publicly identified as a member of the CAC (if you are faculty or staff, be willing to list yourself on the Out List or the Allies List linked to the LavenderCal website).
§  regularly attend CAC monthly business meetings (September-June), as well as periodic special meetings with UC administrators (e.g., Chancellor, Vice Chancellors, Staff Advisors to the Regents) or other committees (e.g., Staff Diversity Council).
§  prepare for meetings by reading and commenting on briefings, proposals, etc.
§  participate in committee task work between meetings (e.g., writing, phoning, researching, organizing).
§  participate in the life of the campus by attending campus LGBTQQIA activities, including activities of allied staff, faculty, or student organizations.
§  work cooperatively with all campus constituencies to promote UC’s overall diversity goals.
 
PROCEDURES AND TIMELINES
 
Times of Regular Business Meetings: 
 
September through May, the Committee shall meet once monthly, usually during the noon hour, on a weekday selected to accommodate the majority of members.  June through August, meetings may be convened if urgently needed (as fewer members are likely to be available). Occasionally during the academic year, additional meetings may be convened for urgent matters.
 
Decision-making:
 
When possible, decisions shall be reached by consensus among all members, using “gradients of agreement” or a similar method of deliberation as needed.  If consensus cannot be reached, votes shall be carried by the majority.  Ex officio members may not vote.  A valid decision shall require the votes (preferably in person but electronically as needed) of more than half the eligible members.
 
Selection of Members:
 
Each April, every current member (including ex officio representatives) shall notify the Co-Chairs of desire to continue serving in the next academic year or to step down. 
 
In late April/early May and again late August/early September, the “Call for Membership Nominations” shall be disseminated by current members as widely as possible, including:

as well as via additional venues pertinent to each constituency group. 
 
The deadline for the committee’s receipt of nominations/self-nominations shall be in mid-September each year. A subcommittee shall organize submissions for review by the committee soon after the deadline.  Selections shall be made by consensus or majority vote as soon as possible thereafter.  The Co-Chairs shall invite new members to begin serving in October. 
 
The Co-Chairs shall forward the names of students invited to serve to the ASUC and Graduate Assembly for those bodies’ endorsement, and the names of faculty invited to serve to the Academic Senate’s Committee on Committees for its endorsement.  The Co-Chairs shall then forward a full roster of members to the Chancellor’s Office for the Chancellor’s approval and official appointment.

Selection of Co-Chairs:
 
Whenever possible, two Co-Chairs shall be selected for staggered one-year terms as follows:
In April, a continuing member shall be nominated or self-nominate to serve as a Co-Chair for one year beginning in September.  Selections shall be made by consensus or majority vote. 
 
In October, any member shall be nominated or self-nominate to serve as a Co-Chair for one year beginning the following February (provided that member intends to continue serving into the next academic year). Selections shall be made by consensus or majority vote.
 
Whenever possible, a Past Co-Chair who continues serving into the next academic year shall offer counsel and mentoring to incoming Co-Chairs.
 
One Co-Chair may be an ex officio member, with the right to vote while serving in this office.

Duties of Co-Chairs:
 
These include but are not limited to:
 
·         Consulting with one another to promote effective collaboration and division of labor.
·         Ensuring that the committee’s email account <cac_...@berkeley.edu> is checked weekly and appropriate actions and responses made.
·         Scheduling regular monthly business meetings and other meetings as needed, including with persons and groups outside the committee.
·         Preparing and disseminating in advance meeting agendas and supplementary material.
·         Polling members for input, informal decisions, and formal votes.
·         Constituting and charging subcommittees and assigning members as needed.
·         Ensuring that records of committee activities are taken and preserved. 
·         Speaking on behalf of the Committee publicly if and when necessary
·         Signing official correspondence on behalf of the Committee
·         Acting as the official liaison to the Campus administration on behalf of the Committee
 
Responsibilities of Members:
 
These include but are not limited to:
 
·         Attend monthly business meetings and meetings with campus officials
·         Reading materials in advance of meetings and decision-making.
·         Providing input to committee deliberations.
·         Assisting with the execution of the committee’s task work, including serving on subcommittees as needed.   
·         Sharing timely information or developments relevant to the committee’s understanding and activities.
·         Taking every opportunity to communicate the work of the committee to the member’s constituencies, while exercising confidentiality and discretion as appropriate.
