Hello web2pyers,

During PyCon Brazil I talked to some people from Brasilian community (@viniciusban and people at X4 agency) about a possible web2py conference happening here in Brazil. After that I had the opportunity to speak personally with Massimo about this subject and then he suggested we do a global event!

"Web2py World Conference 2013"

Idea:

Between February and April 2013 we will have a world conference to be held simultaneously in various locations around the world where there is at least 2+ members of the web2py framework community.

This conference will be organized by local volunteers and should happen at a physical location, auditorium, classrooms, public space, coworking or other place that can house an event.

The target audience of the conference will be users of other languages and platforms and people starting up in the world of web development.

We will have an official website (maybe web2py.com/conference) where the proposals will be sent to lectures, case studies and tutorials.

The only requirement is that the event occurs in a pattern of organization and that all activities needs to be recorded! The activities may optionally be transmitted online, but what we want is to have actually a compilation of all the videos to be subtitled in several languages and be available for all community web2py.

How to help?

We need volunteers for the following activities:

  1. Be responsible for the organization in your country / city (can be done in groups)
  2. Provide physical space and basic structure for the event
  3. (Local physical, chairs, projector, microphones etc.)
  4. Capture, burn (stream optionally) the videos of the conference
  5. Put subtitles in videos (post conference)
  6. Advertise in email lists and social networks
  7. Invite other programming communities
  8. Help with sponsorship (for generous people, rich people, facebook employees and companies)

I believe we have a large number of users in places like USA, Argentina, China, India, Brazil, Portugal and others (put your country here).

(For Brazil we already have a team and maybe it will be held at São Paulo or Rio de Janeiro!)

If you want to collaborate with ideas or taking one of the tasks mentioned above please join us at the group created to organize this event.

I think it should be April 27 or 28 (one day, 9am-7pm, ~10 20 minutes talks, ~4 1hr talks, discussions + local parties at nighttime)

I suggest we create a web site where people can 
* volunteer space 
* volunteer to give a talk (20 mins - 1hr)
  - demo something they built on web2py
  - talk about design decisions
  - talk about features they like/dislike
  - compare with other frameworks (features, performance, etc)
* show interest

Talks will be pre-recorded and played during the conference. We will all be connected via IRC and chat so we can ask questions to the speakers and have discussion. It should cost nothing.

I can definitively host people in Chicago.

I suggest we make a twitter account and an IRC account. We could make a widget to post on blogs that shows tweets from the conference.

I think we should take the opportunity to turn this event into a model for distributed conferences. I do not see many organizations do this and we could set an example.

Local conferences would be great as long as there is enough local skills to demo capabilities of web2py. I am not sure how many people are trying out web2py in Zambia but have gotten one person addicted to python, he has however decided to take django route on web framework...he tells me he is finding easier but he has not tried web2py. So my point is if I can get over a few hurdles am having am sure I can give him enough reasons to also try it out...just like many people I know around here would be interested. At the learning stage I have reached despite being 1month on web2py therapy I find many reasons to continue learning compared to quitting when things get tough...I know web2py offers many features that make web development taste like cheese cake...its just a matter of getting there.

So I hope a Zambian community can be born in readiness for web2py conf 2013.

I vote for April, 28th.

I liked the idea to allow people send questions to speakers, but in a
country wide approach. Let's remember different timezones.

As I don't see many "normal programmers" using IRC here, in Brazil,
I'd suggest a Google Account, ie, web2py...@gmail.com to allow
remote people to stay connected to the event.

 I think that we could build a community coded app which hosts the most of the features needed for this type of event. Such as:
- a video stream db for video submissions
- a material selection and system for a web2py jury
- sort of a scheduling system for presenting and showing each event section asincronously (without user intervention) in the web interface.
- email and/or twitter system for broadcasting next events
- embeded IRC/chat interface?
- an event archive with comments/chat/streams/etc.
- mobile support?
- support for markmin docs

An app like that (I don't think there is something OS coded with Python yet with that features) would give an idea of the power of web2py for newcomers.

We have already an OS conference app mainly mantained by Mariano Reingart (plus the original app project) that maybe we could use as a base for enhancements.

I am a little upset about this. Looks like nobody has proposed a date and the date I proposed did not work for others.

We need a date or a date range when the proponents can commit to secure a room. 
I originally proposed April 26. ow I think May 18 would be more appropriate. I can reserve a room in Chicago on Friday or, better, Saturday but not during the week.

I think it is ok to have different dates on each places.

Each country/place can do in preferred data since it is in the same week.

Lets say:

<place_here> - May 16 (Thu)
<place_here> - May 17 (Fri)
Chicago - May 18 (Sat)
Brasil - May 19 (Sun)

Of course we can have more than one place at the same day, no problem but we can schedule the days from 16 to 19 May.

My proposal on how it can work:

Each organizer needs a physical room, local advertisement,  Internet connection, recording equipment.

Vanue and registration
The event has to "exist" in a Physical place, people needs to register and submit proposals on the conference website.

Funding
The organizers can sell "sponsorship" or call for funding in order to pay for event bills (as recording, coffee and lunch) - But this is responsibility of reach organizer, but all the sponsorship will advertising on the main website and mailing or other promotion material.

Proposals
The proposals will be voted online, people from any place can vote and this will be used to choose which presentations will be recorded to be included on the website track.

The event
Its a normal local meetup, people goes there, have coffee break and networking, attend to presentations etc... The only difference is that all the presentation and activities needs to be recorded in a good audio/video quality. (optionally transmitted via hangout on air if the place has good Internet connection)

The videos:
Video need to be in a good quality, uploaded to YouTube conference account.
If not presented in English, the video will need to be subtitled to English using the YouTube (Amara) tools, for this we count on local volunteers.

The Conference
Ok, in this case "the conference" will be just a set of videos, organized in tracks and for each track/video we can have a "forum" like place for people to interact about that content. So anybody can watch the videos from other places.


Thats it! 3 or 4 days of local meetups, recorded and putted together on a "conference" website for everyone to see and interact, also optionally each meetup can have their local event transmitted alive.


I cannot think on another format.

This is not the first time I try to give it a little visibility, but I insist:

Should be considered over amara, because it's a web2py app and support adding slides, with the all the needed enhancements and fixes, of course. i.e., the interface needs a bit of improvement because it's not too "intuitive", but we can fix that also.

I am ok with almost all of this but:

I would not have 4 dates. 2 would be ok. 3 a stretch. The reason is that we want people from other location to be online at the same time so we can have some events shared via chat or videoconferences. For example if you and I want to do a Q&A over IRC we need to be available. I cannot be available for 4 consecutive days/all day.

Funding. If people attend in a physical location than you may collect funds. Yet people should be able to regster, submit talks and participate to online events for free. I think the point is not just to have a web2py event but to show we can have a distributed conference. The fact that we will have local meetups is a bonus not a requirement.

Sorry Massimo, I didn't proposed a date for Argentina because now we
are in summer vacation (almost all of the educational institutions are
closed or with minimal activity)
Also, in Argentina, the dates for our python main events are not set
yet (PyCon Argentina and PyCamp)

I'ld prefer a free venue to make the event more accessible, but
getting that in down town is complicated.
I think Friday, Saturday and Sunday is enough to pick one date based
on local possibilities.

If anyone else want to take over planning it for Argentina or have any
other idea, please go ahead.
If anyone is willing to plan a venue in a neighbour country (Uruguay,
Paraguay or Chile), maybe we could join forces.

I'm from Lagos Portugal also.
If in Portugal i would suggest the use of the University of Algarve installations, It has :
- a nearby airport
- the weather is awesome specially in the summer.
- it is not-expesive.
- good nightlife
- awesome sea food
