Transfer Key Fob Management

Hi everyone,

Now that the key fob project and initial key programming is done, can we start coordinating the transfer of management from Max to CBD? We've had several folks knocking on our door with key fob questions that really should be answered by CBD.

Let me know what we think next steps are so we can start transferring over. We still have the excess keys in our possession and New Elements will need to work with CBD to set up and train on the app.

Opps, didn't see this message ..just called Max with a fob issue. Do you want to hang onto the extra keys? If I have directions I can hang onto them.

Hi Christina,

I had asked Max to put together a user guide for CBD on the fob/card setup and also a section for deleting the fobs. I had asked him to bill for his time on that also. Do you know if he ever completed that? 

CBD told me before they are happy to take it on (and will charge accordingly) but I think a user guide or tutorial from Max would be helpful. Also - we need the extra fobs/cards to be with whoever is going to be programming them. So if the full hand-off is to CBD they will need the extra fobs/cards. I know there was concern about residents having to drive to the location in Federal Way but before it used to take many weeks to get new keys if one was needed. Further, residents can have the option to have CBD overnight a card/fob to them at the unit owner's expense if that is needed. We have never been able to get new keys over the weekend so I'm not sure why we would set an expectation now that folks can get new fobs/cards over the weekend. My opinion is that CBD takes it on completely and owners/residents work with them directly to get a replacement card/fob when needed but would be great if Max is willing to put together a user guide so that we have one for future needs and in case the manager at CBD programing the fobs ever changes. A document would be wonderful.

I agree that CBD should take over issuing lost or new fobs/cards. That takes pressure off of current and future board members. A user guide is a good idea. I am on board with all of Kim’s suggestions.

Hi all,

Max did 99% of the work and the entire framework has already been set up (making a user guide of that process is pointless since we likely will not be adding more apartment units to our building). Each apartment unit has already been set up and adding a new fob to their system is as easy as updating a phone number in your contact list of your phone. The only thing that needs to be done is figuring out who at CBD needs the app and the password. New Elements can walk them through how to download and login if we're unavailable. (As a side note: would be good to know who that person is at CBD so we can also have them login and download the security camera app also).

The keyfob app is super intuitive and Max was able to figure it out without the help of New Elements. There is a "trouble shooting" guide in the app itself if someone needs to refer to it. And if they absolutely cannot figure out, I would recommend they contact New Elements. If a user guide was made, it will be obsolete by the time someone even needs it due to app functionality upgrades (I mean look at how rapidly Facebook updates its app...a user guide 6 months ago is obsolete). My guess is New Elements is constantly updated on keyfob app upgrades so they would be the sources of truth moreso than Max.

I am on board with Kim's suggestions but (scenario) 207 works late hours.  She comes home, her fob doesn't work she ends up calling someone in the building to get in...but she has to work these late hours the whole weekend.   CBD does not work on the weekend. What are the unit owners to do?

I believe the board when we were pushing this method of entry, assured them someone here in the building would be able to help them.

I know Max said he could help but he thought he could charge for it too. I agree with Kim's suggestions except on the weekends or holidays we're screwed.

Are you saying unit 207 is having a hard time with her fob/card? Is her's not working? These should all be working and have no issues moving forward. We never said someone would help them. If the fob/card is not working it might be because that unit owner damaged it. Owners do need to take responsibility for their cards/fobs and keep them safe. 

We said if the power were to go out in the building for a long time that there will be another solution for accessing the building. The extra keys, which should NOT be given to ANYONE under any circumstances unless we experience a power outage for over a week and the backup battery is no longer working. The whole point is to NOT have keys around the building that can be lost and we don't know about it.

They keyfob should work...the keys were changed last week Monday. How have they been getting into the building? Has their fob been broken all this time and they're only speaking up a week later? I'm confused on the timeline...

I don't know what to say. No one is going to be able to help after hours. There are thousands of buildings in Seattle that have similar systems. It's not common to have a person that can just come to the rescue in the middle of the night if a fob/card doesn't work. Unfortunately, that is not an option. I'm also not sure why a fob/card would not work unless it is a damaged card which is on the owner......

If someone wants to give out their personal cell phone number then that's great for owners/residents to call directly with help. Or they can call someone through the call box and ask to be let in stating their situation......

Ok, I'm getting lost in the conversation here. Ultimately, residents can contact CBD for any questions (including malfunctioning key fobs) moving forward. From there, CBD can take lead in finding the answer whether it be researching on their own or contacting New Elements.

We have had a few instances where people were using the keyfobs incorrectly. There was 1 key fob that was legitimately not functioning and Max fixed that on the day of (it was on day 1 of the rollout). The other folks who contacted him about malfunctions were resolved when he walked them through how to properly "key" in. Most folks were not holding the key fobs close enough to the sensor or even holding it there long enough before the sensor picked it up and then let them in. Would a video on how to properly fob in be helpful?

Let me know if we need to still get a "user guide" set up. I would almost prefer asking CBD to log into the app and then let New Elements know if they have additional questions. I hesitate writing a user guide only because it will be rendered obsolete in a few months. It is almost more dangerous to have an obsolete user guide floating around vs asking the experts at the time of because you could be missing out on important security function updates.

Sounds good on the user guide (no for now). I have asked CBD to provide the contact for this, likely it will be Gary M. Once I know I'll have New Elements give Gary access. Then if he needs help we can go from there. 

Maybe put together a quick 30 - 60 second video for fob and card access and we can email to the residents? I don't know. I'm shocked people can't figure it out, but then again I'm not because that's how it goes....lol  :)
