Hi team,

 

We have two months until the reunion and a lot to do.  I know we’ve traded e-mails in the last few weeks but I think we should get on the phone for 30-45 minutes this weekend and come up with a detailed game plan/assign tasks from here.  Please send around times you can do.  I am wide open.

 

Topics on the agenda—feel free to add:

• Vendors (Table 9, DJ?), contracts, and deposits
• Floorplan (where will on-site sign-in be?  Who is officially working the tables?)
• Drumming up registrations (how to get an invite out to people?  Alternatives to Facebook?)
• Raffle (are we doing?  What are prizes?  How do we get them?)
• Budget (we need detailed numbers so we can figure out how to handle guests like teachers)

Hi guys,

So sorry I'm just replying! 

I have plans with my mom at 11, but should be on the train around 1 if we want to try for that. Otherwise ill be back to my apartment by 3.

I'm currently researching invite design sites. Makes sense to do something simple and attach to our Facebook page. That's where we have the audience right now so it makes sense to put it in front our classmates there.

Let me know if either 1 or 3pm EST work for you guys. Looking forward to it!

Additional discussion points for Saturday:

 

1. Doing away with the donation. Did we determine how many people would need to buy tickets at full price in order to produce a $500 donation? If this is looking unreasonable, let's lower the ticket price and get more attendees. We can try for the donation for our 15 or 20 year!

 

2. Copy edits for invite? Can we allow for an incentive to buy before March 1? What is our cut off date to buy tickets?

With 11am ET sounding like it doesn’t work for all, I’d rather wait for 3pm ET (if Stef can do) or maybe a time next week after work for you guys that we could all make.

 

Does anyone else have Monday off?  That may be an alternative.

 

Can everyone can send broader windows for next week that they can do?  I’d be happy to match them up.  Mine are:

 

Monday:  anytime

Tuesday:  11am-2pm ET or anytime after 5pm ET

Wednesday:  anytime except 1-3pm ET or 7-9pm ET

Thursday:  11am-2pm ET or anytime after 4pm ET

Friday:  anytime before 4pm ET

@ $75/ticket, it looks to me like we were assuming a $5 donation per person, but that was rough math—I think we should look at final contracted numbers, see what gratuity will add, etc. before we remove that $5 from the ticket price, just in case we were $5 too optimistic on pricing somewhere.

 

That said, if we feel like that $5 was truly money we could have put toward a donation, I’m fine cutting it/reducing price and refunding people who’ve bought by $5/ticket.  We do have the site set up to accept donations separately, and we’ve gotten 4 so far out of the 21 people registered.  I think it’s fair not to do a donation for your 10-year reunion.

 

Re: the invite, I think it’s a good idea to reemphasize to people that they should register/pass along to friends (unfortunately our Facebook group is missing a lot of classmates, so we’ll have to rely on word of mouth to get the word out further).  We can talk about wording when we have our call, but I would definitely include a link to our website on it, and note that prices go up to $85/person after March 1.  Thanks for running with that!
