Hi, all,
 
It sounds like balloon centerpieces will run us about $150 assuming we put one on each of 8 tables of 10.  Alan will have someone deliver them for us.
 
Two questions:
 
  1. Do we want to put them on every table?  (I’m fine with it if you all are, but don’t think a lot would be lost by doing them on 50-75% of tables if we want to save the $.)
 
  1. Stef, can you confirm with Table 9 whether their round tables seat 8 or 10, just so I’m sure to get the right number of arrangements?

Hey Pam,

I think $150 is doable for a decoration budget-- and I like the idea of having something on each table.

Another option might be to do 4/5 balloon centerpieces and then 3/4 of something else. Not sure what our options are?
Balloons are probably the easiest, and most cost effective.

Update on my action items:
1. Called Panas yesterday and today, and left a vm. Turns out it's spring break so I wont hear back until next week.

--In the event we can't secure the class collage, I'll work on a back up plan where we display all of our senior pics (from the yearbook)

2. Jess Petti is confirmed for 4/13. She and Laura will arrive by 6:30 unless we need them earlier?

Questions-
Are we able to do a coat check? Is this something else the girls can help with?

If we are allowing walk-ins, are we going to publicize that? And if so, who is responsible for keeping the cash box. I assume we'll need change unless we require exact.

I bet you’re right on balloons being most cost-effective so I’m fine going with those if you all are.  Jenna, if you need posterboard or anything for any display stuff if we can’t get the collage, just keep the receipt/send me the amount and I’ll be ready to reimburse everyone as needed on the day of.

 

I think 6:15-6:30 would be good for Laura and Jess.  We’ll have a registration sheet (I’ll download from website) that they can use to check people off as they arrive.  I imagine we’ll give them each ½ the alphabet and they can hand out nametags.

 

We should totally allow walk-ins, I think.  Question is whether to charge $85 at the door, or more.  I’d have Laura and Jess manage that if needed.  We can definitely flag on website/Facebook that people can pay cash on-site (happy to post once we know cost).  We can figure out how to deal with change if everyone agrees.

 

I’ll leave coat check comments to Stef.  My only thoughts are (a) if lots of people come at once and check coats, check-in line could get long because one of them would have to check people in and the other would have to do coats (ie, slows things down).  Also, would mean one of them would have to man the coat check pretty much the whole night because people will leave at random times.  So it may be less enjoyable for them/more hassle than it’s worth.

Hi. All great thoughts. My view is that coat check should not happen. Let folks put coats on chair in room 

Walkins - definitely. Price - $90??

Laura and Jess...  Can they do 6 in case we need more bodies to help?  We will absolutely take 6:30 as they are graciously volunteering their time.

I'm ok with $90 for walkins but we should advertise that bc I feel like it'll encourage anyone on the fence to buy now instead of waiting and paying more. I can post on the fb wall if you all agree.

That is a bummer.  I don’t think quality of a blown-up photo will be great, so I’d opt for plan B, only if you have time.

Hi guys-- bad news. According to the school, by law (?) we cannot remove our senior collage because its bolted into the wall. They suggested we come take a picture of it and have that blown up...

I'm not sure how much that would cost, or even how possible that is given the timing. Any thoughts?


Plan B was for me to print out all of our senior pics on a tri-fold standing poster.

I like plan B if you have the time. Out of curiosity what "law" prevents this?  Sounds like panas BS.

She said it more like against Panas law...but basically said it's permanently there and there's nothing we can do about it.

I can do the senior pictures-- not a problem, can have my mom get the printing done for me and then do it Friday evening/Saturday morning if necessary. Do you prefer something on the cheap (printed at home/ not the best quality?) or should I take to Pronto Printer for color/glossy higher quality? The trifold boards are like $8 or something so that's not bad. Let me know what you think!

It could wind up being cheaper to outsource because I imagine we’d drain at least your at-home color printer cartridge and have to get another.

 

Assuming the last few people owing us checks make good/no one else signs up, we have $327.87 extra.  So if everyone else is cool with it, I think we have room to spend on it.

 

Two questions for Stef:

-          Can you find out from Table 9 how many people fit at each table so I can give Alan Ortner a centerpiece count?

-          Have you printed nametags yet?  If not, let’s wait til next week and I can run you the latest nametag doc, since we’ve had some more people sign up.

 

Anything else outstanding right now?

I printed name tags. Can add more when I return from Europe. 

I saw 3-4 more tickets come in via credit card so we may have some more cash. (59 of that goes to venue)

I have a good amount of pics that I can stick to some poster board too.  I have doubles/triples, so I can literally just adhere them, no printing or anything else.  Unless poster board is insanely expensive, I'd be happy to donate a few bucks to decorate.

Do we want to open this up to people attending, too?  Something along the lines of feel free to bring in old pictures, yadda yadda

Tables should be 8 or 9 to a table. We are thinking 11 tables in total. 10 is squished.
