Call for Volunteers for the 2025 Hampton Holiday parade

This is a call for Volunteers for the 2025 Hampton Holiday Parade. This event will be held on 06 December 2025. Location is in Downtown Hampton along Settlers Landing Road, Eaton Street, Lincoln Street, and Franklin Street. Our onsite arrival time will be 14:00. We will be parking in the parking area across the street from the Air Space Museum (The Parking lot for the shops across from the ASM.). Units that are assigned to outer areas (Franklin Street, Lincoln Street) can park in those areas. Make sure that you are not parked where your vehicle could get towed.
 
The event will start at 17:00 and should run for 90 minutes. 
       
Please wear weather appropriate clothing, reflective coats or vests, hats, gloves. Have your HT, programmed with the used repeater/simplex frequencies (listed below). Bring extra batteries for your radio.  Bring a lighted wand. Bring your name tag on a lanyard.

Make sure that you have both the 145.49 (100 tone) and the 146.73 (100 tone) repeaters programmed into your radio. We will be using 147.555 (no tone) simplex for operations at this event. This will be a tactical net event.

The following list of simplex frequencies are used by our clubs at our events. All are simplex with no tone. Make sure that you have all of these programmed into your HT's/mobile and home radio's.

146.52, 146.460, 146.550, 148.580, 147.405, 147.555

There will also be an integration of GMRS users involved, so if you have that capability, bring the appropriate HTs, and spare batteries. Use of GMRS will be determined on site, with consideration of volunteers who are capable in this band. Integrating GMRS into our reporting will allow GMRS volunteers, who do not have Amateur Radio licenses, to participate.

There will be Porta-Potties at locations along the Parade route.

No meals will be provided. There will be food trucks available. These will only be in the area of the judges stand.

Those of you who have worked this event before, and you have a preferred assignment, indicate that, when you post that you are available in this message.

This is a manpower heavy event, so if you are available, you will be needed.

These are the assignments for the parade. Attached is the Line up. Expecting a revised edition to come out on Thursday. That will be posted upon receipt. Also attached are the General rules for the Parade to participants. Please note the part about throwing candy from vehicles and floats. If you see this happen, intervene immediately.

 

Dress accordingly for weather. Expected 40's during the day and 30's after the sun goes down. Good shoes. Reflective clothing, vests, gloves or coats,  HT with spare batteries. ID with Lanyard.

 

This Dropbox link contains parade files: maps, performance roster.  Please download, print a copy, and bring it to the event.  Review the participants' instructions, e.g., Candy can be handed out to the crowd, but it cannot be thrown into the crowd.

Radio:  Primary: 147.555 MHz simplex     Alternate: 145.490 MHz / PL100

This will be run as a tactical Net.  Identify with your FCC call sign at the end of a discrete conversation, not to exceed 10 minutes.

Give you tactical call sign (example: Rover 1 to Net Control. X unit has arrived. Acknowledgement. Then give your FCC call sign)

In areas that have multiple operators assigned, ID yourselves as (example) Lincoln !, Lincoln 2 etc. Make Net Control aware of your designations before the Parade starts.

Assignments:

 

Eaton Street:  Dennis K4DRR, Nancy KQ4ZAZ, and Daryll KF4HJW

-Line up Eaton Street units.  Communicate to Net Control the lineup of every participating unit in your area.

-The blue labeled sign units will perform for about a minute at the reviewing stand.  All non-marked sign units are walking/through units.

-Units will proceed with a 15 yard gap between each unit.  This interval will be maintained throughout.  Pass this guidance to the lead of each unit beforehand.  The intent is that units will self-police their interval.  We will correct any unit not following this guidance.

-At Eaton Street and Settlers’ Landing Road, Daryll, Nancy and Dennis will get our units in order.  Close to the 1700 start time, Daryll will move to the grandstand, and Nancy and Dennis will be working at the corner. As units move through the viewing area, we will keep the units moving in conjunction with those performing and those marching through without stopping.

-At times when the parade stops for a performance at the reviewing stand, this may give some of the other performing units the opportunity to do a short performance where they stop….not to interfere with the unit performing at the reviewing stand.  These units are expected to restart their movement immediately and keep their interval.

-All units will place their identifying number on the left side of their banner, vehicle windshield, etc.

Band Insert:  Rob KE4JDY       Saunders KD4LEL 

-Communicate to Net Control the lineup of every participating unit in your area.

-Ensure the bands are lined up in the staging area in the order in which they will enter the parade.  One ham is dedicated to holding up the unit on Eaton that is after the band being inserted. 

-JROTC units may stage in the band area and will be treated like a band. Net Control will advise Lincoln and Franklin operators that the JROTC unit will not be staged on their street.

-All bands will place their identifying number on the left side of their banner. 

 -Please note some walker units will be staging in the La Bodega parking lot, adjacent to the Ban Insertion area. ID these units and have them inserted into their proper place's as the Parade goes by.

Lincoln Street:  Jayden KN4STS     Larry K2ILH     Chris KA4CLP      James KQ4ZBA

-Line up Lincoln Street units.  Communicate to Net Control the lineup of every participating unit in your area.

-Due to the size of some units, some units will be staged in parking lots adjacent to their order in the lineup.  Rover can assist with this.

-Intervals between units at this point will only need to ensure the safety of the participants.

-All bands will place their identifying number on the left side of their banner, vehicle windshield, etc.

Franklin Street:  Vince KC6ISS       Chris N4YGQ

-Line up Franklin Street Extension units.  Communicate to Net Control the lineup of every participating unit in your area.

-Suggest the west side of the street be used to line up units first, followed by the east side of the street.

-Only double park units as a last resort.  The street thoroughfare must remain open. 

-Intervals between units at this point will only need to ensure the safety of the participants.

-All bands will place their identifying number on the left side of their banner, vehicle windshield, etc.

-Track unit arrivals called in by operators.  Communicate this, and any units that have dropped from the line up.

-Net Control will maintain a city radio to communicate with Korey from Parks and Recreation for arrivals and deletions, as Kory directs.

-Conduct a last verification with operators at 1645 hrs of units that are NOT present.

Some units will arrive without their number sign.  Units can pick up their number sign at the pop-up tent located at the corner of Lincoln and Eaton streets.
