Dear Team,
Please find appended below the relocation details for candidates hired from your campus. Request you to communicate the same to the students:
· Relocation will be capped to one month of your Fixed CTC (Fixed CTC mentioned on the appointment letter is to be used for this calculation). Please note that this amount is not an allowance. It defines your maximum reimbursement limit of relocation expenses. The expense will be reimbursed at actuals, and tax liability, if any, towards this payout shall be borne by you.
· Nature of expenses that can be claimed as relocation
1. Travel Related Expenses
a) A maximum of three one way trips can be claimed. This includes one pre-transfer visit (if any) and the actual relocation travel itself
b) Only 1 one way trip for immediate family can be reimbursed. Immediate family is defined as spouse, children and dependent parents
c) Only trips made within 3 months of relocation date will be reimbursable
All the above travel bookings should be made through the EY travel desk to be eligible for reimbursement
2. Accommodation at New Location
a) Maximum of 2 calendar weeks (14 days) at an EY guest house/ hotel basis eligibility
b) Accommodation for Immediate family (as defined in 1b) is reimburseable basis eligibility
c) Expenses incurred on food, laundry etc will not be reimbursed
3. Packing and Transport
a) Packing, transportation, insurance, loading and unloading of personal effects including vehicle if any
All the above packing and transport related arrangements should be made through the local EY admin contact (Britto Stephen – Britto....@in.ey.com) to be eligible for reimbursement
4. Other Expenses
a) Vehicle Registration Charges if any due to transportation of vehicle
b) Cost of repairs and maintenance due to damage in transit
c) Monetary loss incurred due to relocation viz. non-refund of deposits on telephone, gas, electricity, cable, school/ club and other related expenses
d) Brokerage for the house and documentation charges if any for house lease at new location
Brokerage to be paid directly by EY to ensure necessary TDS related compliance.
Please note:
1) All relocation expenses as listed above have to be claimed within 3 months from the actual date of relocation to be eligible for reimbursement. Claims submitted post 3 months will not be approved.
2) The total amount claimed as relocation will be subject to recovery should an employee resign within one year from date of joining
Please fill the attached excel sheet for all the full-time joiners and send it back to me by tomorrow EOD. We will share details post that.
