A few issues surfaced in the rail cleaning and painting:
- The four Raleigh ground floor units facing the courtyard that are hidden by trees etc.... were inadvertently left off the reduced scope.
- The painter noted that the condition of the railings were such that doing touch up leaves a risk of blotching where new and old contrast
- the power washing on the trellis surrounding the garage gate is completed. It was not enough to remove some of the vines and blemishes from the previous vegetation that had grown on it.
I brought Tim A, Cindy and I together to discuss:
- whether it is better to just paint 100% of the ground floor railings while the painters are here to avoid blotching
- adding the four ground floor Raleigh units to the scope
- should we add scope to have the garage trellis area sanded and scraped ( a BIG job!)
Paul was consulted on phone and joined us at the very end.
Also, Cindy did a quick survey with the BMC.
As a result, the following decisions were made. If there is disagreement from Hal and Diana, please hold me 100% accountable. But the decisions needed to be made WHILE THE PAINTERS are here.
- Decision - we decided to NOT have the garage trellis area sanded and scraped. There will need to be a Phase 2 to address that and the cost may be in the $20K range. It will need to be done (its ugly) but we'll bring it up in a future BoD meeting for discussion and decision.
- We added the four Raleigh units into the current scope
- We changed the scope from touchup to having the ground floor railings 100% painted. This will look beautiful and there will be no risk of blotching.
There is a financial impact:
- the approved quote for the touchup etc.... was $28,645
- the BoD approved $31,500 for the work so we have an additional $2,855 that does not require BoD approval
- the quote to add the 4 units and to paint the railings 100% is $8800
- so the additional approval needed to do this work is $5945
- I have given Cindy the GO to have the painters do the additional work. We approved the additional dollars (~$6K)
Paul, Tim A, Cindy and I agreed on this direction
4 of the 7 BMC memebers also agreed, 1 disagreed, and 2 wanted to see the touch up done first and then make a decision (this was not feasbile)
Hal and Diana, this moved fast. I decided to work the issue to a resolution (we had to move fast) and inform you after given that Paul, Tim and I were in agreement. Paul and Tim, pls weigh in if I misstated anything.
