I want to go on record complimenting the work of the E-Prep Committee. Clearly there was some hard work that contributed to a very thorough set of recommendations, two of which we have now approved.

Having said, that I have a few reservations on some near term plans;

  1. Regarding the ~$7K purchase of equipment. I want to bring up a point that Paul made in the BoD discussion in whcih we approved this:
    • Before we cut the PO, I would like to see a plan for where the inventory is stored, how it will be secured etc...
    • When it is time to cut the PO, it should be done through Kin Living. This should not be coming out of anyone's personal pockets. This is official VAUX business and should be conducted within the way we use our management company to support us.
  2. Re the software contract. We agreed to one year use and assuming that we like it we agreed that we would negotialte the contract in a way to show significant discoounts in subsequent years.
    • Negotiating the contract terms should be conducted by Kin Living for the same reasons I mentioned in #1
  3. Re the ZOOM presentation to the Vaux residents, I confess to being caught off guard about this. If I missed this because I wasnt paying attention, apoloigies. Regardless, the E-Prep Committee works under the charter of the BOD and nothing should be presented before the BOD has approved the contents. Has anyone on the BOD seen this? 
    • I will be out Feb 2-12. I  will live with the recommendations of other BOD members after the materials have been reviewed.
I repeat: A lot of good work done by E-Prep. But this should be executed under the way we do business today.

I agree with you, Joe.  Work well done by committee. 
 Now is time for board to review everything regarding the Zoom meeting with residents.  A slight tap on the brakes won’t go amiss here.

Superb work, E-Prep Committee and Douglas, taking us to this point.  
The EPC has brought us to this place...where we are about to have a plan  and the equipment necessary to accommodate a severe emergency.  
Until I saw the call for a community zoom call yesterday, I was unaware of the intent to have one.  
I agree with Joe.
The devil's in the details.
I would like to see the details:  who does the actual purchase, and exactly what becomes of the material and equipment we buy as a COA.  
I suggest...suggest...that someone from the EPC attend one of our planning meetings, and we go down the list to plan for control and storage of this equipment.  I have no doubt the Committee has already made this plan, but the Board of Directors needs to be apprised of all plans and the board must then approve.
AND we have to agree on who physically purchases the equipment on our behalf.  
One more thing before we buy equipment:
Cindy, Diana, Darlene and I met with, and called for a contractor's quote on creating a chain-link storage space in the Savider Cart Room.  The intent was to house mostly paperwork and stuff of little street value.    If we intend to store any equipment or materials of value in that area, we need to go back to Todd, our intended contractor, for a new quote: one that will either take the chain link to the ceiling or to be closed on top.  It's currently 10 feet high and has an open top.  If that area will contain anything of critical need or value, the security requires a more complete area.
If this is confusing, I'll draw pictures.
Once again, thanks to Dougl, Jan, Delia and Manny on the great work they have done, to bring us to the brink of finally having a plan and the equipment necessary.

I support each of the points Joe cited in his email.
  • the Board would like a plan covering storage and individuals responsible for each item
  • Kin Living handles the ordering and payment process for equipment
  • Kin Living negotiates and pays for the one year contract
  • A zoom presentation? What did I miss? Is this part of a rollout plan to implement the alert system? I need more information.
In general, the Board should review the contents of any effort endorsed, explicitly or implicitly, by the Board.
