Madame President,

Hi and thank you for your mail.  Though it is still not clear from your mail about the office bearers. Are you saying that we cannot change them since they are kind of endorsed when you informed RI before the inductions?  At the same time at the end of your mail you have asked all office Bearers and Committees to submit their letters to come to you for filing.  You are contracting yourself here, please make it more clear to all.

Also last nighting was adjourned or cancelled meaning we have not done any elections at all thus the office bearers are either still on or they are not.  Please confirm.

So if the AGM can only be held at the end of the year, this means no election progresses until then.

I think it is good to make clear distinction of the role of the Secretary in the Club.  It might only be me but I am confused as to the way we are running things here.

And to me the most important and most urgent matter is to open the bank accounts and have the money in these accounts.  I continue to say that it is not proper to keep money outside the banking systems.  Therefore can we have on monday a meeting to endorse the bank account openings and to come up with the Matrix of the signatory to these accounts.  If we are not sure about how the setting of the bank account signatories then as a new Club we need to get directions on these.  Patricia had been trying to get answers and is this why Rufino had come back to you and thus your mail.  Most of these were questions raised last night and we did not have the clear answers and I believe it is correct that the Secretary does her part in finding answers and if you have them then fine just let us know.

For all information I have just received the Club Treasurer's Manual today.  Thanks to Patricia to have this forwarded to me. I am now clear as to what it requires on a Treasurer part but my question is whether I am to play this role yet or what. And I guess it is the same questions to al other office bearers.

Another point is that the Club does not have the approved Constitution and the By-Laws.  I guess this is our priority and we must then set time to review and agree to these two documents before moving forward.

I look foward to your clarifications on these matters.

Thanks President.

More than crystal clear and I think now we know where we stand. It is good to always confirm information before we have meetings so we do not confuse ourselves or run in manners that are not expected.

Otherwise all is good.  It would be a good idea to discuss the Constitution and the by-laws quickly.
