Payment of VT13,000 to VNPF for long outstanding for the pig

To The Rotary Club of Vanuatu Grassroots members,

Please be informed that after so long waiting for the funds to pay off the pig from VNPF, I have this morning paid out the VT13,000 for the outstanding account.  It does not look good for the Rotary Club to have the practice of leaving unpaid debts.  

Also it needs all our commitments to be able to run the club effectively.

I have now received back some information on how the club funds had been used for the first induction but some receipts are not there. Therefore I need to sit with Esther and the others on getting things right.

Total Funds received:

From the Club Funds = Vatu 30,000

From Rotary NZ - NZ$500 = Vatu 37,150

Cash collection from Members- Anniva Tarilongi -VT5,000

Others unknow (Committee needs to confirm).

Payment for the Pig from the Club Funds = Vatu 13,000

Total Cash Known = Vatu 85,150 including the payment of the pig account done today

The following receipts were attached: 

VIT Room hire - Vatu 20,000

Grilled Fish and other food- Vatu 5,000

Ming Kai - Vatu 840

Ming Kai -Vatu 880

Butchery Traveso for Beef Stir Fry - Vatu 1,000

Tebakor Shopping Center - VT1300

La Touque a Poisson - Vatu 4550

Au Bon Marche receipt unclear - Vatu 390

Au Bon Marche-Shopping Downtown - Vatu 4180

Au Bon Marche - Shopping Freshwota - Vatu 3450 for juice

VNPF for Pig payments - Vatu 13,000

Total Receipts supporting payments = Vatu 54,590

The following other payments are without receipts but were listed on a note:

Transport= Vatu 10,000

Market Shopping = Vatu 8,000

Present Seafront Market = Vatu 9,900

Flex Cards = Vatu 2,500

Total without Receipts = Vatu 30,400 which needed a receipt to back up payments.

Total Payments recorded = Vatu 84,990

Therefore Total Cash/Funds received as per the above = Vatu 85,150

Less Total Payments (Receipts  provided and non receipts) Vatu 84,990

Balance of Cash should be Vatu 160.  As per reconciliations of cash left over is Vatu 160 and this agrees with the calculations above.

Where there is no receipts it is important that receipts be obtained.  And ensure that it must be best practices in fund managements to have all for transparencies.  I look forward to the committee to provide the last receipts for our files.

Can the Organizing Committee send us a full list of the contributors to this event and also give us a list of those members who have not contributed.  I kindly ask the Organizing Committee (Charlie and Olga) to make a reminder notes to each members who have not contributed so their contributions can be taken into account.
