Entering Ministers

Hello Everyone,

I have allowed others to enter new ministers into the MSP. The problem I have now is duplicates. 

For example:

Mike Giovine - sacristan

Michael Giovine - Hospitality

Michael A. Giovine - Lector

** All the same person.

I am thinking that I have to go back to only the Administrator who will enter names and ministries that the minister is qualified for. 

Have any of you had this type of problem? Or do you as Administrator alone enter the names?

Good morning,

I do this part alone for this very reason. In retrospect, I'm glad we decided to do it this way at the outset because we have the same problem in other applications, like Flocknote for example. 

It might be a nice enhancement to the product to have a flag pop up when the email address is the same for multiple people. Understandably, a family could share an email and be multiple people, but something like this would be helpful: Mike Giovine has the same email address as Michael Giovine, could they be the same person? The option to say either "Yes," which would merge the entries; or "no, but they are in the same family," which would allow them to remain separate, would be great.

I have use the enrollment link for new people, mostly...

It took a few rounds to get most of the bugs worked out.  

Items that I configured to make the enrollment work better.

1. Limit the ministries available for enrollment, particularly with our acolytes where certain skills are needed for some sub-ministries

2. Ensure I'm copied on the enrollment, so I can validate the responses

This thread has given me the idea to add a note in the enrollment, "if you get an error that your name already exists, contact the admin"

For me the benefit of self enrollment risk of duplicate users with the above limitations is far better than having to register new users myself, the automatic email with credentials and how to links is very helpful.

Ron, 

I am the only Administrator to enter names.  In the past I did have one other Ministry Head - Altar Servers who did that but I have now taken that over.  

I see your dilemma.

Thanks to you all for responding so quickly to my email about dupes names in the database. I appreciate it very much.

I have decided that I will be the only one entering names from now on. I think 1 cook in the kitchen for this important part is best.
