auto-scheduler adding ministry positions

I don't usually use auto scheduler, I just create pre-assignments.

I tried to use the auto-scheduler today. I only have one Minister for Communion at all Masses except for special occasions. When I ran the auto-scheduler, it added in another position to some of the Masses.

Has this happened to anyone else?

What I would suggest is that you send in your data files (Help - Send Data Files to Tech Support) along with a specific example of a volunteer name/service where you noticed this happening, so we can take a closer look. I had that happen a few times as well recently, not when I ran the auto scheduler but when I added family members, particularly with youth servers. We usually have two youth servers. if I add a different family member in another role, and the system asks if I want the youth scheduled, a few times I have said yes without looking if it was needed and the system just created a new position so we have three servers if the other two were filled.
of course I can't recreate the issue now to send data files.

I have had this situation happen to me as well.  We ended up with 3 Readers at a Mass because 2 were from one family and the other Reader already was in the first slot.  When the family was added, it created a third Reader slot.

Hi Everyone! 

I just wanted to chime in with a few reasons that this might be happening. 
  1. The ministry has the "Never split up family members in this ministry/subdivision" turned on. Doing so will expand to fit all family members in this ministry if there are more people in that ministry in one family than the spots available. You can overcome this on a per-family basis by checking the "Allow members of this family to be split up in ministries for which families are flagged to always be scheduled together" in the family profile of the Family Groupings pane. 
  2. Teams that have more members than the number of needed positions. In this case, if you only need 4 people but a team has 5 members, the positions will expand to fit that team. To resolve this one, go through the Teams and make sure they have the number of people necessary, removing any extra members. 
  3. Manual changes. This one usually happens when someone adds a volunteer manually to a schedule. When asked if they want to add in the other family members, it adds extra positions to the ministries of the others to fit the whole family. No settings changes need to fix this - just keep an eye on where you are adding the other members!

Then we can make suggestions on how to adjust your settings based on what you want to happen!

For these positions there were no any family requirements & unfortunately I cleared the extra positions from the schedule I made active.
