Hi everyone,

We all know MSP is great for scheduling Sunday worship! But what about other services?

I’m putting together a blog post on creative ways churches use MSP for services beyond their regular weekend schedule.

Have you ever added to MSP something like…

🕊️ Funerals or Memorial Services
✝️ Sacraments (First Communion, Reconciliation, etc.)
🎉 Anniversary or milestone celebrations
🕯️ Morning Prayer or Vespers

…or anything else outside your usual Sunday services?

If so, I’d love to hear about it! Whether it was a one-time liturgy, seasonal tradition, or a special celebration unique to your church, your example could inspire others in the MSP community to grow their service opportunities. You might even get a shout-out in the blog! 📝

I use MSP for Sundays, weekdays, Quinceanera weddings, Funerals, repose the Blessed Sacrament and confessions. 😀

I just finished on-boarding the Ministry to the Hospital and Homebound.  Every day there is a schedule for one or two individuals to go to a specific hospital or meet specific homebound and bring the Eucharist.  There was a need to communicate times when these individuals can’t make it and request a substitute.

We have recently began using it for various music-related practices. It's been helpful as we have different accompanists and instrumentalists. Also, any special services (confirmation, first communion) are also added as needed. The musicians have remarked how much easier it is to have all the information in one place.

I created a "service" for our Sunday Nursery workers and one for our Floral Guild so that scheduling for those groups are excluded from weekly Sunday Service schedules. 

Our nursery workers are a paid team of six working 9:30-11:30 for the 10am service. Adding their schedule in as a service allows me to keep their scheduling activity contained to them and the Sunday Nursery parishioner liaisons to make sure there is coverage. The service is kept private.

I do the same with the floral guild since they don't do flowers every weekend. It's not auto scheduled, they typically tell me which weekends they take and I input that data so reminders are sent. 

We are finally getting through our first year and probably have all of our special weekly services in the scheduler. Love the repeat flag to change dates when you create the next schedule. I'm looking forward to trying that out next Holy Week.

Hello! Our volunteers would like us to assign the EME's spots where to stand to distribute wine, host, and ashes.  I would appreciate it if someone could point me in the right direction to get started on setting this up in Ministry Pro Scheduler.

We used to do this, pre-pandemic. :) We created a "subdivision" for each position under the EM ministry. I.e. Plate 1, Plate 2, Plate 3, Cup 1, Cup 2, Cup 3, etc. Each position/station is labeled in the church on the floor where each person is supposed to stand. The catch is that you have to make sure all of your EMs are listed as "Qualified" for each of the Subdivisions. We got rid of the specific station assignment during COVID. We do, however, still schedule people for either a Plate or a Cup. They get assigned the exact location by the Sacristan when they arrive at Mass.

Tagging on to Kathi's reply.  

The set up decision will depend on whether or not you have ministers who cannot do both cup and host.  If you have some of these, then Kathi's set up is best.  If it is ok to randomly assign to either cup or host, you can number or name the positions by clicking the 'automatically name or number the positions..' box in the pane for the EMHC ministry and set up the needed positions. 

At my church, we qualify the ministers by Cup and Host so that those who can't hold the cup or don't have the dexterity to pick up individual hosts are only qualified in the subdivision that works for them.  Then, when the ministers arrive to check in, they sign in to select the position on a separate piece of paper by our sign in sheet.  

Just pick the solution that works best for you - MSP can handle it!

We do the same, we have both Cup and Host ministries.  I would like to recommend that MSP Sign-in Kiosk allow for notes, or custom fields so as users sign in they can select which position they would like to serve at, they could just type it into the notes field, or if it could be customized, perhaps a check box selecting the position they choose.

Hi... Cathy...

Open "Ministries" in the left menu.
Select the Ministry (Eucharistic Minister or whatever you've named it)
Click "Edit Ministry"
Click "New" under the Subdivisions and Schedule label section
Confirm that all of the EM's appear in the "Qualified volunteers:" field for each new subdivision

MSP has the ability to put a number next to each volunteer - EM 1,, EM 2, etc., without making subdivisions. My Eucharistic Ministers know where they stand based on what number they are - EM 1 is by the ambo, etc. There is a map in the sacristy in case they forget. I have found this much easier than making subdivisions as I don't have to qualify each minister for each subdivision.

Agreed... we have people who cannot/will not serve the cup due to physical limitations and sometimes fear. <3 

If you use the auto number, the position, and it's not too confusing, that could be a way to avoid creating individual stations as a subdivision. And don't assign a number to the Presider's station. :)

What I did was set up the MINISTRY, for example Extraordinary Minister.  THen I created SUB-MINISTRY, position 1, position 2, etc.   What that means is that you will have to qualify each of your EM's for each position.  But they will be assigned to a specific position.  Hope this helps.
