Hi Krista,
Yes, sub requests can pick up during the summer because events come up that were not known about when the schedule is created. Sometimes, even I have to request a sub! 😊
I look at these requests not as a problem, but the purpose of using MSP! Without the sub requests feature, these assignment changes would require ministers to make many phone calls or send emails to get a sub. It would be frustrating for the minister and could cause them to stop serving due to the complicated steps necessary to get a sub.
Other settings can assist with the sub process such as allowing trades and sending the email that lets the requester know the position is filled. I send the ‘unfilled positions’ email on Wednesday to all those qualified in the ministry to help get the openings filled before the weekend.
So my tip is to let MSP do its thing! I have also noticed trends these days in many different types of events, that people won’t commit until the last minute. On occasion, you might need to send an extra Thursday morning unfilled positions email with bright text colors to get their attention.
Hang in there fellow Schedulers!

Hi MSP Community!
I was chatting with a church yesterday that’s navigating a seasonal
challenge—many of their families travel over the summer and forget to enter
all their “Can’t Serve” dates in MSP. As a result, they’re seeing an
increase in sub requests each week. Have any of you experienced this in
your church, too?
I’d love to hear: What tips or strategies have helped you keep volunteers
engaged and schedules running smoothly when availability might be limited?
Whether it’s a creative reminder email, a flexible summer signup approach,
or something totally different, feel free to share what’s worked in your
church community!
Wishing you a safe and sunny summer,
Krista
