Question regarding the ability to fill out forms and save data.....
Can users who only have Reader complete Acrobat Forms and save the form with
data? Does it matter what version of Reader they have?
Thanks.

I am the production Director for a 200 page bi-monthly business to business
magazine. Currently I take all of our files from advertisers and designers
and make them into PDF files for our printer. What I want to now is turn
those PDF files into an digital magazine with links from the table of
contents to articles and links from all web addresses to web pages, etc. I
know you can do this easily in acrobat, I am curious what tools there are
out there to help me, and how to make this easy and as automated as
possible.
As I see it I need to:
1. Combine all my individual pages into one file
2. Size the PDFs down to a manageable size for the web
3. Create all the links
If anyone has any ideas or suggestions I would greatly appreciate it.

We have a number of customers of PDF Enhancer
(http://www.pdfenhancer.com) that use it for this purpose (preparation of
electronic publications). I think you'll find it suits your needs quite well.

Kenton,
I am unsure of any automated ways of doing this, other than the
inserting the pages manually and adding the links and such manually.
One thing you might want to consider is using bookmarks. In Acro 6, you
can just go to a page or place in the file, highlight the text, right
click and select "add bookmark". The text is automatically turned into
a bookmark, and a bookmark is added to the bookmark window.
As for sizing the PDF for the Web, the best thing to do is combine all
your files, and then go to Advanced --> PDF Optimizer and set up your
specifications for the web (downsizing images, etc.).

You could use an AppleScript to combine the PDFs into one, then use your
Pitstop Server to optimize the PDF for web use. You could also use Acrobat
to optimize. I think that PDF Enhancer would do both of these functions. But
since you have a Mac and Pitstop Server I'd go that route first. The links
and bookmarks might be a different story.
Depending on how your native files are, you may be able to setup bookmarks
and such in Quark or InDesign and export to PDF all at once using a book
function of some sort. I'm not sure how to do that in Quack or InDesign
though...

Did you do a "save as"? Just saving any of your changes will increase
the file size. "Save as" reduces it. You must do "save as" and rename
the file to keep the file size down.

I downloaded the demo of PDF enhancer. I like it a lot. I think I will
have
to get that for this project. I have question for you. Is it normal for
a
PDF to grow a lot from adding links to it? I added about 25 links and
the
file size jumped by 4 megs. Or did acrobat do something to the file
when
saving?

You can use MSWord then convert it to PDF using the PDF Convert icon in
Word. It preserves the bookmarks and links in the table of contents.

It can indeed grow, though 4Megs for 25 links is a lot. Are these
links inside the PDF, to web sites, what??

It is not required to rename the file, but until you are 100% sure that the
changes you made are really what everyone else wants, it's always good to
have previous versions around in case you need to revert to an earlier
version.

Yes Save as discards the redundant data and re-optimises the file for
byteserving, but I have never found it necessary to rename, just save
over top .... with a Shift+F5 to confirm ;-)

OK, so I did a little test: When I did a save as and wrote over the file
in 5, the size went up. Doing a save as and renaming in 5 made it go
down. In 6, the file size went up when I did a save as... go figure.
The mysteries of Acrobat.
In the end, I just play it safe and save as and rename.

There's also PDF Optimizer under ADVANCED but someone else needs to explain
the difference between that and "save as" and "reduce file size"!

In 6, PDF Optimizer provides a variety of advanced controls for reducing
the file size (such as removing bookmarks or web links), as well as
making the file compatible with lower versions of Acrobat.

Reduce File Size, which should (IMO) NEVER be used, is just PDF
Optimzer with a pre-defined (and unchangable) set of settings.
PDF Optimizer, in 6.0, allows you to choose the specifications of how
you want to save your file. You can set the image resolution, embed
fonts, or have bookmarks and links removed from the document. I
generally use it to save lo-res versions of documents for the web. For
example, a nice feature in Optimizer is that you can choose to have 300
dpi photos reduced to 150 dpi (instead of the typical 72), allowing for
a smaller file size while retaining some of the image quality.

3 of the 25 were to web sites. The rest are to various places in the
magazine. This was a test to show others in the company how it could work.
They loved it, now the reality of producing it is setting in. The idea is to
use the table of contents to go to all the articles, the ad index to go to
all the ads and the ads to link to web sites. That would make a total of
about 110 links to web sites and 220 links to various places in the
magazine.

I just did a test on Acrobat 6 pro. I opened a 160k PDF and did a save as
and it stayed 160. I opened the original PDF again and did a save and it
became 164. I opened the 164k PDF again, moved a letter one arrow click and
the file grew to 544k. I opened it one more time and moved the letter back
and it became 932k. That is really scary. In a big multi page PDF that would
add up to a lot fast. Is there something that can be run to strip out
whatever is building up when you save?

When you do a 'save' the changes are appended to the end of the
document. When one does a 'save as' it doesn't keep a history of changes.
