More information about this job: Overview: The Associate Director/Director of Meetings manages the daily operations of the Meetings department and Member Response department; oversees strategy and planning of 200+meetings and special events; monitors and controls event budgets and negotiates all necessary contracts; is familiar with a variety of concepts, practices, and procedures within the hospitality field; and relies on extensive experience and judgment to plan and accomplish goals.
Position Info: • Ensures successful execution of 200+ meetings and events per year • Works with presenters, facilities and program heads to determine best location, time frame and agenda for meetings • Creates schedule, initializes RFPs, negotiates and executes contracts for all meetings • Conducts onsite property research and evaluations to find new venues that meet service, space and cost requirements • Manages vendor negotiations and relationships with hotels, conference centers, convention visitors bureaus, caterers, transportation companies, audiovisuals, teleconference vendors and restaurants • Manages department and overall meetings budget, conducting cost analysis when necessary • Regular reporting and communicating to Executive team • Ensures the quality and service level of every meeting is maintained and works with internal and external constituencies to correct problems and/or to praise success. • Develops and enhances standard operating procedures for logistical tasks and general meeting management • Oversight and Management of Meetings (7 full time employees) and Member Response (5 full time employees) staff • Evaluates performance and oversees professional development and goals for all staff • Manages retention of current staff and recruitment of new staff when necessary • Assigns and analyzes staff workload, including meetings and projects
Qualifications: • 3+ years in a supervisory and/or events role • Creativity and innovation with ability to effectively problem-solve anticipated and immediate challenges • Strong service and work ethic • Ability to work under strict deadlines in a fast-paced environment • Ability to work successfully autonomously as well as within a group setting • Outstanding oral and written communication skills • Positive attitude, poise and judgment (demonstrating "grace under pressure") • Excellent time management, prioritization and critical thinking skills • Excellent computer and analytical skills (Event Pro meeting management software and Microsoft Live Meeting a plus) • Ability to work well with technical and non-technical resources • Ability to manage all project aspects, including providing overall guidance and direction • Ability to manage relationships and negotiate changes to commitment/requirements • Designation as a Certified Meeting Professional (CMP) a plus but not required • Ability to travel at least 10% when needed for site inspections, onsite evaluations or onsite support • Bachelor's degree
