Subject: Extended stay of students, particularly postgraduate students, in residence

Dear Deputy Vice-Chancellor: Academics and Registrar,
After some consultations and discussions with relevant stakeholders, Student Affairs reviewed its approach to requests of students for extended stay in residence. It is common cause that the contracts of students in residence require them to vacate their respective rooms during the June/July and December/January holidays. However, it has been demonstrated that some students, particularly postgraduate students, would like to remain in residence for academic and research purpose.
The following is the considered process going forward:
· Registered students who reside in UJ owned residence will be allowed to remain in residence at no additional fee provided they remain for an approved academic and/or research purpose (the approval for academic and/or research purpose must be signed by a respective Faculty Executive Dean).
· Registered students who reside in UJ owned residence will be allowed to remain in residence at a cost of R70 a day if they remain for a valid reason other than academic and/or research purpose (subject to the approval of the Director: Student Accommodation and Residence Life).
Students approved to remain in residence beyond the terms of their respective contracts might be moved to other rooms or UJ owned residence should operational requirements like maintenance plan and/or security issues require.
