Response from Dr. Taipala about the Action Plan that we submitted

Hello guys,

It's been so long.

After such a long wait, we finally have a concrete response from Dr. Dan Taipala regarding our action plan.

I have to apologize for not being as prompt as I should have been on working with you on this initiative.  We have been extremely busy through the summer and I have to ask that you both forgive me and believe me that I haven't had a minute to spare to get this done. 

That being said I want to let you know that your proposal was very good.  I am thrilled that as a team you and your colleagues are working together to get the chapter started. 

After reviewing your proposal.  I have a couple of comments.  First you have defined a plan for fund raising for the chapter but no plans on how you expect to use or manage those funds so I would like to see more details in that areas.

Second I would like to see some planning around the focus of your chapter from an activity perspective.  For example there are competitions that as a chapter you could engage in.  You could also focus on getting lecturers to address the group.  I can see how a 'webinar' that is recorded to support members in different time zones would make sense.  Perhaps you could facilitate regular real time chat sessions.   I also think that as a group it might be interesting to have a development competition (for example the development of a mobile application and the best app would be published to either the Google or Apple app store). 

Give this some thought and let me know.   I have included the email addresses that I had of students that expressed interest in the chapter.  There are others that I will need to search through my email and send to you. 

Can you provide me with a summarized list of current participants?  The following are the minimum requirements of the chapter so as soon as you can provide me with the following data I will complete these steps for you can we can get going.   

Step 1:  Enter chapter name, chapter email address, chapter type, and chapter sub-type.

Step 2: Enter the names of three individuals to serve as Chair, Vice Chair and Secretary/Treasurer. These individuals must be ACM Student Members. In addition, a Faculty Sponsor with an  ACM  Professional Membership is required

Step 3: Enter chapter contact information (postal address and phone number).

Step 4: Enter the names of at least ten (10) individuals willing to carry out the chapter's mission and participate in activities.  A CSV file (comma-separated values) containing the last name, middle initial, first name, and email addresses of these members will be required through the automated chartering application.

The must have information I highlighted in red.  As I recall we need at least 3 of the individuals to have a student membership to the ACM and we will need their membership numbers.  I know that you had 10 individuals listed so if we can get the membership numbers of the students who you listed that have already acquired a student membership then we can get started.

If you are interested I can begin to search for a lecturer who we could get to deliver a webinar type of lecture.  I will also look into how to set up the technology for this if you are interested.   From this point on, I would like us to touch base at least once a week on issues and status if that is ok with you.  With the start of a new school year it is the perfect time to start this process!

You might have noticed that most of the information Prof. Dan is asking for we have already provided. What we need is this: "plans on how you expect to use or manage those funds so I would like to see more details in that areas".

I know we have provided that in the original plan that we submitted but perhaps they need something more concrete.

I will be inviting those people Dr. Taipala have listed who are not yet with us and replying with the rest of the information in red.

It's high time we continue with this project.

Just to clarify we need three things hammered out in terms of priority (not just where the funding goes).

1 - Information necessary for automated chapter system.
2 - Financial Implementation plan.
3 - Activities clarification.

Am I missing something?

This information, if I am correct that you mean those items in red, we already have and have provided in the action plan which we submitted last term.
 
2 - Financial Implementation plan.

These two are what we really need to elaborate.

It's a pleasure to be back again and hope we all had a nice holiday. I
think Dr. Dan mentioned a good number of things beside the ones
written in red such as
- engaging in competitions probably with other institutions or between
ourselves
- getting lecturers to increase our pool of knowledge, a window to the
professional world
- webinars from these lectures to be stored in the database for access
in different time zones
- development of mobile apps

I think this is getting us closer to the professional world which is
the main purpose of the chapter. I think we should consider all of
these aspects to the least.

Competitions I've talked about that with John Mbutu. I guess, the conversation died when we started focusing on the ACM student chapter action plan.

However, we did agree that challenges will be an excellent thing to us all. We should start with competitions within our student body. Say, app/software design challenges for individuals, groups/teams?

We will need to get in contact with professionals. Of course, a topic for them to discuss. I wonder if Dr. Taipala can help connect us with such people? I'll ask.

Something like YouTube could work. Or the VLE.

We can use this for competitions.
 

I think this is getting us closer to the professional world which is

When we get officially established, we could access the professional world much easier. That would be one of the best things about getting our student chapter established.

Hi everyone,
The response from Dr.Dan,look at different proposal and I will to comment on the fundraising plan.I believe it was a great plan to get us started.He points out that we need to under more details,in addation to the plan.

I thought that will be better addressed by preparing a proforma/projections of the fund we hope to raise and how they will be utilized.I think proforma income statement will do.I also think we will be more credible in our campaign if we have someone in-charge(under treasurer) to over see that all funds raised are well utilized.If it is not feasible to have someone oversee this,then the treasurer should be informed that managing this pool of fund is his responsibility and he should keep separate books of account.

That is why we elected a treasurer. The treasurer, by definition, will be the one to handle funds and any other related matters. Of course, we will have someone to do audit on all reports by the treasurer at the end of every cycle.
