To access the Student Payroll System your Department Head or Appropriate Administrator must request that specific security be assigned to you as a Student Timekeeper. It is up to the department to set the requirements for students and their timesheets. If you are the supervisor and can verify the student hours online, you may decide not to have the student print out a timesheet. Many departments will choose to have the student print the timesheet because direct supervisor and pay approver are different people.
When you hire a new student that needs to complete an I-9 form you will submit a Student Employment Request Form (SERF). through AdobeSign. Once the student has signed the SERF we will contact them with the information they need to complete their new employee intake with our office. First time student employees are required to bring documents to complete an I-9 and their original Social Security Card no later than the first day of employment for pay. Students who have already worked at Cal Poly are not required to fill out any forms to be hired into concurrent or subsequent positions. Departments may hire the students directly into the SPS without a SERF. Both forms and further explanations can be accessed from the New Student Employment Information page.
Aircraft Timekeepers (ATIM) are assigned to Airtanker/Fixed-Wing/Single Engine Airtanker (SEAT) bases at a local Unit or District level, and may be ordered at various locations nationally. A variety of organisms including mammals have evolved a 24h, self-sustained timekeeping machinery known as the circadian clock (biological clock), which enables to anticipate, respond, and adapt to environmental influences such as the daily light and dark cycles. Proper functioning of the clock plays a pivotal role in the temporal regulation of a wide range of cellular, physiological, and behavioural processes. The disruption of circadian rhythms was found to be associated with the onset and progression of several pathologies including sleep and mental disorders, cancer, and neurodegeneration. Thus, the role of the circadian clock in health and disease, and its clinical applications, have gained increasing attention, but the exact mechanisms underlying temporal regulation require further work and the integration of evidence from different research fields. In this review, we address the current knowledge regarding the functioning of molecular circuits as generators of circadian rhythms and the essential role of circadian synchrony in a healthy organism. In particular, we discuss the role of circadian regulation in the context of behaviour and cognitive functioning, delineating how the loss of this tight interplay is linked to pathological development with a focus on mental disorders and neurodegeneration. We further describe emerging new aspects on the link between the circadian clock and physical exercise-induced cognitive functioning, and its current usage as circadian activator with a positive impact in delaying the progression of certain pathologies including neurodegeneration and brain-related disorders. Finally, we discuss recent epidemiological evidence pointing to an important role of the circadian clock in mental health.

Timekeepers are required to audit their employee Timesheets for certain things. There are specific audit queries that should be run and reviewed by Timekeepers prior to the close of each pay period. These queries can be found in your Time and Labor WorkCenter. Additionally, for a list of available queries available to Time and Leave Keepers click here. NOTE: It is recommended to favorite helpful queries so you do not have to search for them each time you want to run them.
Any exceptions pending resolution will appear in your Time and Labor WorkCenter and it is recommended that Timekeepers review exceptions on the exceptions tab periodically or at least prior to the Timesheet Submission Deadline day to resolve them with supervisors.
An employee may have more than one employee record if they have worked in two (2) different jurisdictions (i.e. worked for an executive branch agency, then worked for Judiciary, etc.), or if they are working two (2) different jobs concurrently. If you have questions regarding which employee record to use when entering time, please contact your department HR office.
The employee will not get paid until they submit their paper timesheet, the Timekeeper is able to submit the hours and the hours are processed for payment. Please encourage employees to submit their timesheets by the end of each pay period worked to avoid processing delays.
Timekeepers can go back 90 days, while employees only have access to go back 30 days. Please encourage employees to be timely about their Timesheets to avoid having to enter time on their behalf and avoid processing delays.
No. Supervisors get notification emails that there are pending time and leave requests for approval, as well as exceptions. Timekeepers do not receive notification emails, however you have access to see pending exceptions and time requests in the Time and Labor WorkCenter or by running queries such as HIP_TL_APPROVAL_ERRORS, HIP_TL_HRLY_NOT_APPRV, HIP_TL_PAYABLE_TM_NOT_APPROVED, HIP_TL_SAVED_REPORTED_TIME. NOTE: It is recommended to favorite helpful queries like these in your Query Viewer screen so you do not have to search for them each time you want to run them.
