At our first Retreat, or in subsequent discussion, I think we decided
to have three Retreats each year (Spring, SUmmer, & Fall, skipping
Winter because of travel issues), so we should probably set some
dates. Spring should be before the convention season starts up - maybe
late March? The other two we could have smack in the middle of summer,
and then right before the fall convention season, or before and after
the fall convention season.

We'll also need to decide where to have them - I think we should
rotate locations so the same people don't have to travel far each
time.

Then we'll need to work out the agenda(s) - but let's set the dates &
places first.

I can host (I'm in Holyoke) and put people up with advance notice
(especially if the downstairs apartment stays vacant). Camping won't be as
nice here though.

But I have a WICKED LOT of days that won't work because of the derby.Want
I should start reeling them off?

Are we doing the retreat and the SEEDS party on the same day? Too much? I'm just worried about how often I can spare a Saturday off to head south this spring.

I would rather have the retreat separate from the assembly party because they are both fairly intensive undertakings. If need be, maybe we could have the assembly party at the retreat location instead of at Tofu, and either do assembly in short "breaks" (some break!) between discussions, or schedule it for Saturday evening or Sunday daytime. I think the weekends will end up feeling over-crowded if we try to combine the two; and it would be good to get more Seeds sooner and leave more time to prepare for the retreat, but maybe reality will force us to combine.

What do other folks think?

Dude, one can staple and fold while talking -- that's hands and mouth, so then what are you gonna do with your feet?  Crush grapes, make wine? 
 
I say let's do assembly PLUS retreat PLUS winemaking all on the same day, use one day to get it all done.

Sir, Big Serious Retreat Discussions require Full Attention - let us reserve assembly time for recreational chit-chat, so as not to accidentally staple our fingers or inadvertently make our mission to "pound, pummel, and pulverize comics"!

Anyway, let's make a list of weekends and see what we have:

It sounds like Colin's suggestion is the best. I may be running
around like a chikkin with its head cut off because I'll be trying to
get comics done for SPACE, but that'll just have to be filed under
"Entertainment" in the agenda.

Hey folks,

Unfortunately, it looks like an April 11-12 Retreat actually won't
work - it turns out Anne will be doing Passover stuff on Saturday (and
Easter is the day after, if that makes a difference to anyone). So,
let's look at the revised list of possible dates...

*March 28-29: Marek book-signing*
*April 4-5: Anne derby*
*April 11-12* Anne's seder, Easter
*April 18-19: Anne derby*
*April 25-26: Colin tabling for local food group @ Earth Festival
(yes, I'll be selling Seeds, too).
*May 2-3: Anne derby*
MAY 9-10: FREE?
*May 16-17: Anne derby, MCAF*
MAY 23-24: FREE?
MAY 30-31: FREE?

It looks like we have 3 potentially free weekends before MoCCA:
May 9-10
May 23-24
May 30-31

Potential May 10th conflict: Mother's Day.
 
I like the two later dates in May - hopefully the T&H best-of book (eep! We should start that in the next week or two!) will be done and a proof back from the printer and the retreat will help energize us for MoCCA.

Would it be something we could condense down? I mean, it would be great to
start doing some planning ahead of time as well--my life is a little
insane these days (blame the derby). Should we start thinking about

# of people...I think we have about a dozen on this list? I'd want to put out the call to the broader group in case anyone else wants to be more actively involved.

By condense down do you mean make a shorter event, or...? I picture everyone arriving Friday night, then Saturday we focus on the agenda, with time limits for each topic, and time-limited lunch break (planned ahead for minimum disruption). We'd finish just before supper, then the rest of the evening could be more social / recreational, & we'd disperse sometime Sunday. That should give us a good, concentrated day of Figuring Stuff Out without the distraction of departures & arrivals.

Embryonic agenda:
- The "values" & "vision" (?) discussions we didn't get to last time.
- Structure
-- decision making processes: I think there will be less pressure on the Retreats if we work out a good system or set of guidelines for how we make decisions through the online discussion group.
-- "Committees" - we talked a little last time about this - Promotion/Education, Finance, etc. Not super-formal, but just having some clearly-designated people working together & focusing on important areas.
- Pinning down the all-ages issue a little better
- Overview of what we've done since last Retreat & what we hope to do until the next one
- Schedule future retreats

That's the main general stuff I can think of off the top of my head. if there's time, we could also talk about more specific things - projects, promotions, etc.

Maybe we could have a short Offshore session on Sunday?

If it's a sleepover, I'd vote for an evening and morning session, OR ELSE a full-day session (late morning to late afternoon, with optional evening social/art time?)  That's less of an impact on those of us with families (read: cats)...

As for something resembling a contribution to the proceedings, I think Colin's prior digital missive is on the money.  Full disclosure: I say this as someone who can not participate in the retreat, as this takes place smack in between two big blocks of time off, and the grocery business waits for no man.

My biggest concern, looking back on last year's retreat, is how we
were bogged down in the morning by breakfast making and bathroom space
sharing. I wonder if we wouldn't be more effective by arriving as
early as we could on the Day of, working and maximizing all day, and
then spending a social/recreational evening, and seeing whatever we
can fit in on the next day.

On the other hand, Colin's plan sounds like so much more fun. And as
long as we could set times to begin work and Really stick to 'em, I
don't see why it couldn't work.

I think if we know in advance that we are starting at a set time late morning, we should be fine - we can plan breakfast & keep it simple. Last time we were all up late the night before & didn't have a clear plan for Sunday.

The main reason I want to get there the night before is because no one showed up on time last time, even with the event starting in the middle of the day, and I'm much more concerned about that happening.

Here is my proposed proto-schedule:

Fri. 5/22 - Everyone arrives in the evening, moderate socializing, in bed by 10 or 11.

Sat. 5/23 - Alternating hour-long sessions with 15-minute breaks (1 hour for lunch), e.g:
Morning stuff, simple breakfast, then
9:00 - 10:00 meet
10:00 - 1015 break
10:15 - 11:15 meet
11:15 - 11:30 break
11:30 - 12:30 meet
12:30 - 1:30 lunch
1:30 - 2:30 meet
2:30 - 2:45 break
2:45 - 3:45 meet
3:45 - 4:00 break
4:00 - 5:00 meet
5:00 - onward supper, socializing, optional departures

(Maybe we could make a field trip to Modern Myths Sat. night or Sun.)

Sun. 5/24 - laggards / diehards / far-travellers etc. depart

Mon. 5/25 - enjoy Memorial Day!

Also I forgot to add to the embryonic agenda: code-names for those who don't have them.

I hope we can find a balance between the two approaches ... I like Colin's tight schedule, but I think a two-evening event is too long. I'd be happy to crack the whip and make sure everyone who wants to come arrivies nice and early Saturday and we work through the day into a fun, social evening with a bit of more work on Sunday.

I like this schedule. Can we firm it up and get a headcount? I'd like to
have a clear timeline to tell my housemates about, since we're probably
taking up the majority of the house.

Are we aiming to do assembly of SEEDS for MoCCA?

Arg, sorry for the late response.

I will put together a firmer schedule tomorrow morning. Would you like to set a time Friday before which people should not arrive? I will be in Northampton on Friday and can probably meet up with anyone who feels a need to arrive earlier.

I plan to attend, of course.

Dan & I already did Seeds assembly a while back (I actually still have some to finish up, but plan to do that this week before MECAF).

Before 7.30 is too early.

I have cats! I forgot to mention--important for folks with allergies to
know. The cats will likely not be okay with a dog (they don't know from
dog), but if it's nice we could just plan to meet outside a lot.

This is Memorial Day weekend, right?  I MIGHT be able to come, but I don't know yet.  I work at a hotel and I'm already picking up a shift on Sunday because it's going to be super busy.  They might need me on Saturday, too, if things get really crazy.  I'll know if I can make it closer to the actual date.

Schedule:

Fri. 5/22 - Everyone starts arriving at 7:30pm (except Marek, I guess), moderate socializing, in bed by 10 or 11.


Sat. 5/23 - Alternating hour-long sessions with 15-minute breaks (1 hour for lunch), e.g:
Morning stuff, simple breakfast (7-9?), then

9:00 - 10:00 meet
10:00 - 1015 break
10:15 - 11:15 meet
11:15 - 11:30 break
11:30 - 12:30 meet
12:30 - 1:30 lunch
1:30 - 2:30 meet
2:30 - 2:45 break
2:45 - 3:45 meet
3:45 - 4:00 break
4:00 - 5:00 meet
5:00 - onward supper, socializing, departures - all of which could be done outside the house.

"Business" starts sharply at 9am, laggards will need to catch up! Weather permitting, maybe we could conduct some or all of our business outdoors.

If anyone would prefer to leave Sunday rather than Saturday, I might be able to arrange somewhere else to crash in the area but can't promise anything.

I'll get a rough agenda together shortly, starting by combining the schedule with the stuff we want/need to talk about.

Couple things:

I like this schedule.

1. Is there any way to either push Friday back (I have a coaching
committee meeting for derby on Friday at 7 in Northampton, which puts me
in Holyoke more like 8.30) or plan a T&H meetup somewhere in Northampton
for dinner/ruckus/comic books/whatever, and then anyone who's staying here
meet here?

2. Who's staying here? (Matt, Dan?, Colin?) Who's coming for Saturday
only? (Marek) Anyone need to stay over Saturday night?

3. Other folks--Megan is a maybe, anyone else?

Anyone who needs my address, let me know and I'll email you off-list.

1. I'll be in Northampton, so we could totally do a meetup somewhere until you're ready. People can let me know their ETAs & we'll figure out what we want to do.

2. I think I'd like to stay over for the camaraderie and to make sure I don't show up late, but if space is tight I have lodging in Northampton.

I was planning on spending the night at Anne's. I like the idea of a
meet-up in Northampton (I've been itching to hit Modern Myths again,
and the rest of the town, too) or someplace. The camaraderie to ease
us into the hard-hitting dawn of Saturday's committees and
decisions!

Depending on how late we call the meeting to a close, I was planning
on taking off Sat. night.

Hi all.

Anyone who is staying overnight, let me know if you need directions (right
now I just have it as Matt and Dan? Anyone else?) I ask because we
actually have two futons in the apartment, so maybe nobody will end up
sleeping on floors. But bring bedding--pillow, blankets, sleeping bags,
whatever...

Bakery in Holyoke on Saturday morning for pastries. Old-world tasty
danishes, for really cheap prices (like, forty cents for a danish.

Okay, here's what I've got.

Colin, Dan, Matt arriving Fri. night after Northampton meetup? People
staying over bring bedding and fans, because it is hot here. I also have 2
cats--they slow down when it's hot, but they are Siamese, so...expect
howling. It's okay to stay over Saturday as well if people want.

We have 2 futons and tons of floor space.

I should be home in Holyoke by 8.30 after the coaching committee meeting.

Saturday Marek will join us.

Friday meetup will be at Modern Myths (www.modern-myths.com) - we may go find supper, but will leave notice if so and will be back by 8:20 to convene & head to Anne's.

Agenda is last-minute again, sorry :( Maybe tonight, maybe tomorrow. If you dig back through earlier retreat messages, there is a rough agenda. I know it includes "decision-making process / responsibilities" and "possible commiteefication". A little looking back, plenty looking forward.

I would recommend to anyone else thinking about coming to come in tomorrow
morning--the house is pretty much going to be full (housemates are
