I need help with this document.

We rented several cars from different companies and got never a document
which was accepted by the "interpol guys at the border.

It was always hours of discussion with these guys to enter Zambia. Last
year I asked the officer for the name of the requested form and got no
answer.

What is the official name of this document ?

How to obtain It for a rented Car?

Where to get the document?

This year we try a new renting company  in Paarl and I want to request
the right cross border documents.

The car has a western cape registration and we do not want to export the
car (police clearence for export).

Hi Martin,

You need the Vehicle Verification Report. It is a 4 page document and although it does not have an expiry date, the Interpol police seems to think it is valid for three months.

I live in Paarl and get mine from the Dal Josaphat Traffic Center in Paarl. The rental company will have to get it since they are the registered owners. They go to SAPS officer where they do vehicle inspections. Normally it takes me 30min from arrival to being done there.

We also require a VVC for our travels in May to Zambia & Zim this year. Do you know if there anywhere in the Somerset West area or do we have to go to Stikland, which I am told is very busy and thus slow?

Hi Charles,

I am not familiar with Somerset West, however to my knowledge, any traffic center with a SAPS officer can issue this.  I would suggest calling the local registration center and ask them if there is a SAPS officer on duty.

What I found in Parrl is that the queue at the testing center was for the regular process, so I simply walked past the line and ask for SAPS officer.  They then asked me to bring my vehicle to where they do their inspections.

Good morning Charles,

I live in Somerset West and had to do my vehicle clearance in Stikland. The odd thing is that it is only Stikland that insists on this "rule". Basically Stikland refuses to do clearance for any vehicles not register in their area of jurisdiction. But friends of mine, registered in Cape Town, did their clearance in Springbok last year.

The process is quite quick, even at Stikland. It takes longer to issue the documentation than to do the inspection. The system also tend to be off line from time to time, and this year they asked me for a letter from the insurance that they have been informed I am taking the car out of the country. No argument about the car being paid off, what happens with cars that dont have insurance, etc. could make them budge, I had to get a letter from my insurance before they would allow me to even get into the queue. It is a new requirement since March, the "logic" is that people sell the car across the border and then claim it is stolen from the insurance, so the insurance must know the car is leaving the country. To me there is no logic in that, and there are many vehicles with no insurance! But take the letter anyway and be sure, Stikland is far from SW.

Another thing to take along – when I did my previous one at Stikland they also insisted on a proof of address (utility bill).

I am from Hermanus. Took my vehicle to Stikland, but they did not do vehicles that is not registered in Cape Town. I eventually took it to Paarl, got the vehicle "dotted" (if that is what you call it) as the insisted and eventually they issue me with some documents. A very long and frustrating day. Last year I took the same vehicle to Caledon. The inspectors seems to move around the Western Cape and visit police stations. Make sure about the dates they are there before you go. Another long and frustrating day in Caledon with very long queue. At Zambia's border with Botswana however they queried the document, because it clearly stated it was not a "Police Clearance". After three hours of negotiating back an forth they allowed us through. The same thing happened on our way back at the border between Zambia and Zimbabwe.

I am again planning to go to Zambia in November 2026, but is now in the dark where to get what document.

Any suggestions will be appreciated.

Ja Zambia Zim borders can be full of it side of the border.

Bottom line is that a full Police clearance for vehicles is (legally) ONLY issued when you are de-registering the vehicle for EXPORT.

At Langlaagte testing station in Joburg  (for the past 15 years), without drama or hassles, I have been issued with a "Checking Slip Stolen Status".  Have your vehicle paper and id with you.

Otherwise common concensus is that you go to a vehicle theft unit and ask for a Private Vehicle Verification (PVV).  

In both cases no data dot or any other requirements other than car paper, id and perhaps proof of address (never been asked for this).

I am from Gansbaai area and have my Vehicle Verification Certificate, not a Police Clearance, done in Caledon. They come through from Paarl every 2 weeks, so check the dates. Have been through Kazangula birder into Zambia on 2 occasions with no issues at all.
Will be going again later this year, likely in July.

Interesting that Stikland does not ask for micro dotting. Proof of adres is a must. 

I entered Zambia last year at Katima with the Verification Report, it was asked for and physically checked against the vehicle by no less than 4 people. They asked me for the "interpol document" and did not query why it did not say police clearance - it does have an official SAPS stamp on it though.

They go through from Paarl every second Wednesday if I recall correctly. Phone tge police station to confirm dates.
You just need the vehicle registration paper and proof of address. 
Make sure to tell them you are there for vehicle verification and not police clearance. 
Get there early, 8am. They then take the verifications first, and don't even look at the vehicle.

Microdot is required for a police clearance certificate for permanent import or export.
For a vehicle verification letter, they don't even look at the vehicle, just at the registration document and confirm on their system tgat you are the correct person/owner.
