The Engine Meeting 15 September 2008

Opening of Meeting

The meeting started late at 6:10pm. Oscar Manduka opened with a word
of prayer.

Confirmation of Previous Minutes

Patience went through the minutes of the last meeting and then through
the list of the things that need to be hired.

Vimbai suggested that we approach Budget hire and find out what they
have since they are reliable. She also advised the group to avoid
companies that may overbook.

Patience then said snacks would be served after the Reception, funds
permitting.

Purchasing of Non-Perishables

Vimbai went through the food budget and suggested that the dry things
could be bought now. Maimba said Prayers was in touch with Kudzai
in Botswana who is going to buy some of the dry groceries. After
Kudzai has listed her groceries, then we can buy the remainder. To
this end, Vimbai suggested that Cans could be bought from South Africa
which could be a cheaper option.

Transport

On transport, Mako highlighted areas that need attention, starting
with the bridal teams, parents, tetes, close family members and maybe
Church. He also highlighted that catering and other departments???.
Mako to liaise with Marshall as to whom they would approach for
transport and draw a list of cars and the owners of the cars.

Patience highlighted that the transport department should make sure
noone is stuck at the venue after the event.

Hiring Equipment

Ronald said he was not hiring equipment but would rather divert the
equipment budget to hiring a musician. Maimba said equipment from
Christian Aflame Ministries and FOG Area 16 Church would be used.
Ronald will assemble a tight band fusing both Churches and friends.

On another note, Multimedia – Oscar requested for four (4) laptops to
use on the day. He explained that he would burn copies of the day and
give as favours. He also suggested that he needed lighting for the
day. Vimbai gave her laptop to be used on the day.

Mako suggested that Oscar uses a Vision mixer, which needs to be
hired. Vimbai said she would talk to the Precious Stones for the
screen and a C.D printer and any other equipment she has.

E-Group

Oscar reported that he had created an e-group for the Engine so that
those in the group can communicate. Maimba then explained the two
functions of the e-group, that of executing staff pertaining to the
wedding and that of social talk and discussions on marriage.

Myn Fayie asked for everyone’s numbers so people can keep in touch.
Patience obliged and read out everyone’s number.

Ronald suggested that we effectively use e-mail and the e-group to
iron out issues and for the managers to daily get updates from the
different portfolios.

The next meeting will be on 6 October 2008 at 1730 hours. The meeting
closed at 1932pm.

Youth Encounter is a youth Camping, Networking, and Outreach organisation,
whose thrust is to raise the standard of excellence amongst the young people
in Zimbabwe, by offering relevant services - life changing, dynamic,
relationship building activities, and personal development programmes.

ever since, even through the drought of 1992, and the current turbulent
economic environment that begun in 1998. Youth Encounter has consistently
held Camp, inviting Campers and Speakers from all parts of Zimbabwe, and

deployed.
