Key points from the meeting with the organizing committee 2009 Aug 27:
Venue: The venue will be the Cebu International Convention Center. The plenary hall is about 38m wide and almost 70 m deep. It has two large screens, fit for the space. Rear or front projection is possible on the screen. There are 6 break out rooms down stairs. The 2 smallest rooms are about 10m x 10m; the next sized is about 10m x 20m (there are I think 3 of this); and still one more that is larger than this. The largest group can work at the back of the plenary room where we can set them up.
Materials for upload:
Templates Deadline: The organizing committee also requested that we send the templates for encoding before hand, preferably prior to May 9, also. So that the rapporteurs/ documentors can set up their systems and be accustomed with the templates.
Presentations deadline: They are requesting that we send the presentation files before May 9, so that they can already upload the files to a website. This is also one way to minimise the use of paper for the summit. Maybe we can send the files in pdf, at 3 slides to a page, or 2 slides to a page. They have to be a bit light in terms of content and file size.
Day 2 afternoon input materials (advance copy): The organizing committee also requested advance copies of the input material so that they could peruse this before the presentation and so that they can also prepare for the discussions. This will also be included in the materials that will be uploaded in the website. The material will be on: Climate Change Resiliency Tools for LGUs; Case Study Materials (Albay); Carbon Finance; and Legal Aspects of CC.

This is already ok with Mayor Sarmiento; they will verify this with Gov. Garcia.
Funding, and Fees: As of today, they already have PhP 1.0 M from PGMA. They have allocated a total of PhP 250,000 for us consultants, with an estimated 50 – 50 allocation for travel related costs, and fees.
Covenant: A sample covenant has already been provided to us by Madelyn of NEDA Region __; it is about. Another covenant is yet to be sent by Raul of NEDA Region __ on Climate Change and Renewable Energies.
Roles in the workshop: The discussions in the meeting emphasised the contribution of the consultants which is to provide the inputs, and to facilitate during the workshop. NEDA will take care of looking for/ assigning faciliators.
Flight Schedules:
2-page briefer on the workshop: This will be part of the kit. It will contain some back ground information on the workshop: what the summit is all about, its objectives, processes, and expected outputs.
List of materials needed for the workshop: Ian will wait for the list of materials that will be needed for the workshop.
Arrangements on the covenant:
Program & Process adjustments: The covenant: drafting process: On Day 1, there will be a 4:30pm meeting with facilitators, rapporteurs and a few volunteers (7 or 10 reps). This is intended to check the level of compliance of the various groups. who will help craft the covenant, from 5 to 7 pm. This will be presented to the 3 Co Chairs of the RD Comm for review, and pre-approval. After which it will be converted into a form for signing the next day in tarpaulin and for presentation to PGMA in paper form. The presenation to PGMA is initially scheduled during the early dinner on Day 2.
Instructions for workshops, rapporteurs and the 7 facilitators: We need to prepare s a simple instruction pack for this purpose.
