Good day everyone,

We're exploring options for tracking school vehicles and would appreciate your input. At the moment, we’re using a Power Apps solution where staff can check vehicles in and out, record odometer readings, and log trip details. While this works, we’re looking at ways to make the process easier and more automated - ideally with GPS tracking or a dedicated system.

The key things I’m hoping for are:

  • Ability to see which staff member has used a vehicle and when - require them to sign in before use. RFID card or phone would be great.
  • Automatic trip distance logging
  • Ideally, something that integrates well into a Microsoft 365 environment for user management.

I realise this probably overlaps with the role of the Facilities Manager, but my goal is to create a starting point that they can then pick up and run with.

Has anyone set up a system like this at their school? If so, what solution or provider are you using, and how has it worked for you?

We are using gps live track for tracking and trip recording.
Bookings are handled as a calendar resource in google calendar.
Reconciliation is manually done looking at the trip logs and who booked it.

Don't know what integrations, if any, are available or even if it has any sort of API available.
