Position: Workshop Controller

Location: Arusha, Tanzania
Industry: Tourism

Role Summary

We are looking for a Workshop Controller who will play a key role in coordinating activities between the Safari Operations team, Mechanics, and Body Workshop to ensure all safari vehicles are serviced, repaired, inspected, and fully prepared before every departure.

This position focuses on maintaining efficient workflow, clear communication, regulatory compliance, and high vehicle readiness standards, while also supporting service advisory duties and basic technical assessments where required.

 

Main Responsibilities

1. Job Control & Coordination

  • Plan, schedule, and monitor all workshop jobs for safari vehicles.
  • Liaise daily with Safari Operations to confirm vehicle readiness and priorities.
  • Coordinate work between mechanics, electricians, and body workshop teams.
  • Ensure repairs and maintenance are completed within agreed timelines.
  • Maintain clear job cards, repair status updates, and completion records.

2. Service Advisor Functions

  • Receive vehicle fault reports from drivers and operations teams.
  • Diagnose basic issues and allocate work to the appropriate technician.
  • Provide repair timelines, status updates, and completion feedback to operations.
  • Ensure quality control checks are completed before vehicle release.
  • Maintain professional communication with internal departments.

3. Pre-Safari Support

  • Coordinate with Safari Operations to confirm vehicle allocations for upcoming trips.
  • Check that each vehicle is clean, fueled, properly equipped, and safari-ready before departure.
  • Coordinate or carry out final safety and readiness inspections.
  • Assist with minor troubleshooting or inspections when necessary.

4. Mechanical & Technical Support

  • Perform basic inspections, troubleshooting, and minor repairs where required.
  • Support preventive maintenance programs and service schedules.
  • Assist in road tests and final vehicle readiness checks.
  • Ensure adherence to safety, quality, and manufacturer standards.

5. Documentation & Reporting

  • Maintain accurate job cards, maintenance history, and service records.
  • Track vehicle downtime and highlight recurring technical issues.
  • Prepare daily and weekly workshop progress reports.
  • Support spare parts coordination with the stores and purchasing team.
  • Confirm all vehicles have valid insurance, licenses, and compliance documents.

6. Efficiency and Improvement

  • Support planning of preventive maintenance programs.
  • Suggest practical ways to reduce downtime and improve workshop productivity.
  • Coordinate with stores and procurement to ensure timely availability of spare parts.
  • Promote safe, clean, and well-organized workshop practices.

 

Qualifications & Experience

  • Diploma or certificate in Automotive Engineering or Motor Vehicle Mechanics or a related field.
  • Minimum 5 years’ experience in a workshop, fleet, or service advisor role.
  • Experience with 4x4 safari vehicles (Toyota Land Cruiser, HiAce, etc.)
  • Familiarity with safari vehicle operations and basic vehicle mechanics is an advantage.
  • Good working knowledge of Microsoft Office applications for reporting and job tracking.
  • Knowledge of fleet management software and ERP systems would be an advantage.
