Job Title: Personal Assistant (PA)

Location: Arusha, Tanzania
Employment Type: Full-Time 

Job Summary:
I am seeking a highly organized and proactive female Personal Assistant (PA) to provide comprehensive administrative and personal support. The ideal candidate will have exceptional organizational skills, the ability to handle multiple tasks efficiently, and the discretion to manage sensitive information. This role requires someone who is adaptable, detail-oriented, and capable of working independently.

Key Responsibilities:

Administrative Support:
  - Manage the employer’s calendar, schedule meetings, and coordinate appointments.
  - Handle various forms of communication, including emails, phone calls, and correspondence when required.
  - Prepare, proofread, and edit documents, presentations, and reports.
  - Organize and maintain both digital and physical files.

Travel Arrangements:
  - Plan and book travel itineraries, including land travel, flights, accommodations, and transportation.
  - Create and manage detailed travel schedules and ensure all necessary documents are prepared.
  - Assist with visa applications, passport renewals, and other travel-related documentation.

Personal Assistance:
  - Run personal errands such as shopping, picking up dry cleaning , and coordinating with service providers.

 - Organize personal events and social engagements.
  - Handle personal financial tasks, including expense tracking and bill payments

Household Management:
  - Managing household tasks

  - Performing various domestic household tasks

  - Coordinating with household staff

  - Managing household budgets

  - Handling maintenance and repair issues.

Project Management:
  - Assist with managing projects, tracking deadlines, and coordinating with team members or external contractors.
  - Conduct research and provide reports on various topics as needed.
  - Follow up on tasks and projects and ensure timely completion of projects.

 

Business Management:
  - Assist with managing business operations, and coordinating with team members or partners.
  - Provide reports on various business areas as needed.
  - Follow up on tasks and ensure smooth running of business.

Liaison and Communication:
  - Act as the primary point of contact between the employer and internal/external parties.
  - Draft and send personal and professional correspondence on behalf of the employer as required.
  - Manage social media accounts or coordinate with PR professionals as required.

Confidentiality and Discretion:
  - Handle sensitive information with the utmost confidentiality and discretion.
  - Manage personal and professional matters discreetly and professionally.

 

Problem-Solving
   - Crisis Management: Handling unexpected issues or emergencies quickly and effectively.
   - Decision-Making Support: Assisting the employer with making informed decisions by providing relevant information and options.


Technical Support:
  - Provide basic IT support and troubleshoot technical issues.
  - Manage online systems, databases, and digital tools used by the employer.

Professional Development
   - Skill Enhancement: Keeping up with new technologies, tools, and practices that can improve efficiency and productivity.
   - Training Coordination: Organizing and scheduling training sessions or professional development opportunities.

 

Qualifications:

Education: Preferred Bachelor’s degree in Business Administration, Communications, or a related field.

Experience: Past experience in a relevant role.

Skills and Requirements:
  - Excellent organizational and time-management skills.

  - English proficiency

  - Exceptional English writing skills
  - Strong communication skills.

  - Tech savvy
  - Proficiency in Google Workspace (Google Docs, Google Sheets) and other relevant software.

  - Financially savvy with knowledge in Basic Accounting and Finance
  - Ability to multitask and prioritize workload effectively.
  - Discretion and confidentiality in handling sensitive information.
  - Problem-solving skills and ability to work independently.

Additional Requirements:
- Flexibility to work outside regular business hours as needed such as late hours or weekends.
- Availability to travel occasionally if required.
- Valid driver’s license.
