Remember that in Buy A&M, FAMIS will automatically create the asset based upon the object code for the line item. That code is pulled based upon the NIGP code input for the line item. If the NIGP code does not pull forward the appropriate object code to create that asset, please either search for a different NIGP code or input the appropriate object code when adding the account code for the item.
There are a couple of differences between AggieBuy and Buy A&M asset integration/creation in FAMIS. One is the timing of the email that is distributed to the Alt APO on screen 860. In AggieBuy that was at the time of an invoice processed against a PO that included an asset. In Buy A&M it is at the time of the PO completion. So the Alt APO will get the email much earlier in the process and will need to work with the person “receiving” the equipment to know when the item is received to update the preliminary asset.
The “Create Asset” flag will only work in BAM if the item has an object code that is on the asset table. It will then only create one asset for the value of that line, no matter how many units are purchased. This flag is not as important as it was in AggieBuy, because the end user can control when an asset is created by inputting an object code that is on the asset table. The “Create Asset” flag will really only be needed when there are multiple units, but they are being used to build one asset. This will allow the integration to create only one asset no matter how many units are purchased.
FAMIS has reported that the daily capital/controlled asset integration is now operating properly. The catch up file to create assets that were missed since 12/05/15 has also been run and assets created in FAMIS.
If you ordered fixed assets through Buy A&M after December 5th, please review and update preliminary assets in FAMIS FRS screen 361 / 362. Preliminary assets created from Buy A&M are not currently available in Canopy.

Remember that departments can use their payment cards to pay for non-po based delegated vendor invoices. Most vendors will accept a credit card payment over the phone to pay an invoice. For those that will not accept at the time of invoicing they will accept the payment card at the time of ordering. Due to the slow processing response times in Buy A&M we wanted to be sure to point out possible uses for the payment card that could reduce some volume that is not necessary to go through Buy A&M.
We have heard that there is concern about making a duplicate payment for an invoice. That is a valid concern, however the invoice number can be recorded for the transactions (see below “Invoice#” field). That would allow the end user to search (see the attached advanced transaction search) for the invoice number prior to payment to determine if it had been paid by their department.

2016 Mileage Reimbursement Rate
Effective January 1st, the IRS has reduced the mileage reimbursement rate for travel from $.575/mile to $.54/mile, and for moving from $.23/mile to $.19/mile. Concur has been updated to reflect the new travel mileage rate. However, if a trip occurs both before and on or after January 1st you will need to enter one Personal Car Mileage expense type for the miles driven prior to January 1st, and one for the miles driven on or after January 1st.

STUDENT BUSINESS SERVICES
If you chose to pay your tuition and fees in full:
Tuition and fees due in full by 5:00 PM on February 2, 2016
If you enrolled in the installment plan:
· 1st payment due by 5:00 PM on February 2, 2016
· 2nd payment due by 5:00 PM on February 29, 2016
· 3rd payment due by 5:00 PM on March 21, 2016
· 4th payment due by 5:00 PM on April 4, 2016

Hard Drop Date
Effective Spring 2016, students that have not paid in full or made arrangements through an installment plan for the balance on their student account will be dropped for non-payment on the 17th class day (February 10, 2016).
In past semesters, student’s classes were cancelled (dropped) on the 20th class day if they were not paid in full or enrolled in the installment plan.
This change will ensure that the university collects as much funding as possible for those students that are dropped and re-enroll between the 17th and 20th class days.
