And we are back with another update on the system.This week's main topic is on the:

 

  EXPIRED FORM STATUS

 In the last few eeks, we have received alot of emails on EP forms being turned from rejected to Expired status. As you know this new menu was not on the old system, it was newly introduced with this current system. This email will provide some clarifications to confusions you might have regarding this menu

The Expired status was introduced for Users within GIP/GCDP Programmes to move to LLC phase. So only when you have a Realized Form with end date passed or have your form on Expired can such users move to LLC phase. 

Below you can find more details of how it has been implemented through migration and some other business rules surrounding it. Besides the details below a  detailed User Manual for the System with updated information has been produced by the IM Team to support you in further understanding menu. This will be released the from next week.

1. Did the System automatically assign any forms on Expried during migration? If so which forms were assigned this status? 

 

Re: Yes. The forms which were in Rejected Status for more than 90 days were changed to Expired.

2. Does the System automatically assign any forms on Expired still? If so then what are the Rules governing this? 

 

Re: Yes. The forms which are in Rejected Status for more than 90 days are changed to Expired. A job is run daily for it. 

3. Why some forms can only be moved to Expired from Rejected, while others can be move to New? What are the rules governing this? 

 

Re: The forms which are in Rejected Status for more than 90 days will have the option to be changed to Expired and those forms which are in Rejected Status less than 90 days will have the option to be changed to New Status. 

4. When a user clicks on "Go to LLC" do all his Available/Matched/Realized forms go on Expired? Is there a confirmation, popup before this happens?  

 

Re: No. If a user has a form in Available/Matched/Realized (Internship in progress) status, he will not be allowed to move to LLC. There is a message displayed for such scenario. Only when such users form is on Realized with end date passed or the form is put on Expired status (automatically or manually) can the user successfully move to LLC.
