Faxing Mail Merg

Operating system: Windows 98
Network: --Other--

I am using winfax 8.03 and ACT 4.0.2.

I go to write, mail merge, then fax, select the document from the
template fill out the subject and start.

System looks like it is going through the process the looks complete
with no fax ever being sent. I have looked at the tech notes and dont
see an answer.

Please advise.

I also can reproduce the same problem. I get a message regarding an
error with the Act Word Driver.

Hello Charles,

Can you fax with WinFax on its own?

Make sure WinFax is the default faxing software.
Open ACT!
Select Edit, Preferences, General Tab.
Click on the down arrow next to fax.
Select WinFax as the default fax software.

Also in the Mail Merge dialog box, check the WinFax options, Schedule
tab. Is the fax set to delay or immediate. If you are faxing many
document we recommend you delay 10 minutes for every 100 documents.

Keep in mind ACT! first has to compile the documents, so even if you
are not set to send later there will be a delay before the faxes are
sent.

Yes I can fax from winfax as well as from ACT in the write menu. All
of that works fine. As stated I am using Office97 Word...

Charles,

I'm a little lost here.

You want to use MS Word as the default word processor when faxing a
mail merge. You are also using WinFax.

WinFax can fax successfully on its own.

When you fax a single ACT!/MS Word document by selecting File, Send
Fax using ACT! you are successful.

You are not delaying the fax in the mail merge options for WinFax.

There are no error messages.

Let's make sure the basics are covered. From previous messages I'm
sure most of this is covered, I just want to make sure nothing has
been left out. Please check each item.

1. Click Edit, Preferences, General tab. Make sure both WinFax
and MS Word are selected as defaults.

2. Click Edit, Preferences, WinFax options. Make sure the
database has been selected as a WinFax phonebook.

3. Check the items in this knowledge base document. It solves
many mail merge problems.

Title: 'Data Not Merging Correctly During Mail Merge'

4. Create a new template with 3-5 mail merge fields and a
sentence or two of text. Using this new template and the ACTDEMO4
database, print a mail merge. What happens.

5. Still using ACTDEMO4 and the new template, fax a mail merge.
You can use edit, replace to replace the fax numbers with your own.
What happens?

6. If we are OK to here, open your regular database, create a
small lookup and fax a mail merge using the new template. What
happens?

7. Now for the big test, using your own database and your own
template (that does not contain any graphics) fax a mail merge to a
small lookup. What happens?

I use Word97, ACT! 4.02 and WinFax 8.03 and successfully fax mail
merge. It is just a matter of getting all three pieces to fit
together.

Let us know what yo discover.

Patti. I created a merg doc and did as you ask in sending it using
the demo data base. It worked. It also worked to send the same
document using my data base. Is there some problem with using
graphics and headers and footers in the doc to be faxed?

Graphics can cause problems with a mail merge as explained in this

I have a question. I am going to do a merge broadcast (1400
destinations, 2 pages, graphics, olts of copy)...everything works OK
for a test merge of 10...question...if I want to do all 1400 how long
should I delay the send...14x10 minutes? How do you suggest that I
proceed. Tips?

Patti,

I still have a problem. I am using Windows 98, ACT4.0.2
Winfax 8.03. The word processor in ACT is word 97 and the fax
program is Winfax.

I can send a fax from ACT. I can send a fax from winfax pro.

I can send a fax/mail merg using using the actdemo and creating a
document in word97 plan. No graphics, No header or footer.

I can not send a fax using mail merg and my data base.

Please lets see if we can make this work. I need this feature in
ACT.

Hello Charles,

If you can use ACTDEMO for a fax mail merge but not the database you
use regularly the database itself is damaged. This document will help
you with the database. I suggest you go to the middle of the document
to the section 'remove index files..'

If deleting the index files and reindexing does not solve the problem
you may have to create a new database and synchronize the existing and
new databases. Then try the mail merge with the new database.

Hi AJ,

I'd delay about 15 minutes per 100 contacts.

That's going to be a hefty load for the computer to process. I suggest
optimizing it before you start the process if you have not already.

Thanks for the info. I redid the data base and I can now fax using
mail merg with a blank document. All of our documents have a
header/footer and sometimes graphics. Act still wont fax using the
graphics or a header and footer.

Is there something else we need to do?

Thank you for you response. I will use you suggestions...but I am
not sure that I have an easy way to divide the merge...I do
understand.

Two additional questions...

1.) the fax mergeAct4.02)is passed the message on to winfax9...the
fax does not go through for some reason...line busy, line down, wrong
fax number...what happens to the notation in the contact file...does
the system have the intelligence to tell me, on the contact history,
that the message did not go through?

2.) Are there any plans to speed upe the fax merge process...it is
very slow. This is an area where Goldmine and its 3rd party fax
program seem to have a real advantage.

You can set up ACT!'s preferences to make a history entry for a
canceled or failed fax when using WinFax.

Open ACT! to the database you fax from.
Select Edit, Preferences, WinFax Options.
Check Canceled and Failed events. ACT! will make a history notation
for those events.

The fax merge is time consuming. You can select WinFax options and
schedule the fax mail merge for a later time. I usually suggest you
delay a large fax mail merge by 10 minutes per 100 contacts.

Optimizing your system may speed up the process.

Hello Charles,

I'm glad the fax mail merge process it working. We're closer.

Creating template for faxing with a header/footer should not cause a
problem. Please be aware that you can not use mail merge fields in a
header or footer. Mail merge fields only work as expected in the body
of a letter.

I suspect the real culprit is the graphics. A fax mail merge does not
work well with graphics. You can try editing the graphic in a graphics
program like Paint and pasting it directly into the template as
explained in this document.

Where are the mail merge documents stored after the processing and
before the actual sending? They are not in winfax outbox or the ACT
outbox.

How do you stop a mail merge that has processed and then started to
send?

Hello Charles,

This is a little tricky.

The faxes should be in the WinFax outbox. To cancel a fax in progress
press Cancel in the WinFax Pro dialog box. Answer yes to do you want
to cancel. Quickly open WinFax to the Outbox. Highlight as many
documents as you can right-click and select remove. If a fax starts up
again, Cancel-answer yes-open WinFax to the Outbox and remove faxes
until all the mail merge faxes are removed from the Outbox.

Heelllllpppppp. I dont know what is happening but this whole thing
has gone south on me.
I am now unable to send faxes from winfax, winfax through ACT and the
mail merg thing has never gotten there. I been working to get this
thing working for a month. Please Please tell me if ACT/Winfax will
in fact do this. I dont need to keep spending the time if it just
wont work. If someone could call me or something but here we go
agian.

ACT 4.0.2 Winfax 8.03 Preferences in ACT are Wordprocessor Word
97 Fax software WinFax. I copied the database to a blank then sync
the files. I checked the setup on winfax and it seems ok however I
reloaded it again. Still nothing. What do you think?

Hello Charles,

ACT! 4.02 and WinFax 8.03 can work together to fax documents created
using MS Word through ACT!. However all the pieces have to be set up
to work together.

If you can not send a fax via WinFax on its own, ACT! will not be able
to send a fax via WinFax either. I suggest you post a message to the
WinFax newsgroup if WinFax is not working as expected. They are better
qualified to respond to WinFax problems.

System resources are very important to ACT!. Make sure your system is
optimized for use with ACT! by following the guidelines in this
document.

Once you can fax via WinFax on its own, use the ACT! Word Processor
and attempt a fax to a single contact using ACT! and a mail merge to a
small number of contacts. Once ACT! - ACT! Word Processor and WinFax
are working together try MS Word as the word processor.

Please let us know what steps you follow and what errors you see if
you continue to have problems faxing from ACT!
