Kathi,
Q&A does not alter the physical location of records when it sorts. So
after you do a sort, the physical arrangement of your records in the
database is actually unchanged.
The easiest solution would probably be to create a button in your database
to click on, that would run a stored Q&A Script to sort your database.
Have you tried using the DAVE Scripting Assistant in Q&A? With it, you can
make a procedure to sort your database, and then assign that to a button on
the database form. Then just a simple click on that button will sort the
database for you.
Chapter 15 in your manual covers how to use the Scripting Assistant, and
page 9-14 shows how to create a script button to launch the script with.
Their is also information on this in the HELP program that is built into
Q&A Windows. Just do a search on the word Script.
If you wanted to alter the physical arrangement of the records in the
database, you would have to copy your records to a new database, using a
sort to re-arrange the records.
To do that, just go to the FILE menu and choose COPY DATABASE. Then check
both the options to COPY THE DESIGN and COPY SELECTED RECORDS. Then enter
the name for the new database. When you get the COPY RECORDS Dialog
window, click on the MATCH FIELDS button to copy all of your fields. Then
click on the SORT button to create your Sort Spec for the way you want the
records sorted. The new database will then have the records physically
arranged in this order.
But keep in mind that once you add more records, the order will no longer
be correct. So creating the sort button may be your most effective
solution.
