Abhilaksh - please dont start mails with subjects like "Pressing Concerns." It makes it fucking difficult to locate any information or sort mail out at a later stage. :)

Accomodation
A few of us met here in Delhi and talked about possible sources of accomodation. Apart from the hostels, which can cumulatively host around 200 people, we could use"
1. Leonia
2. Celebrity
3. Alankrita

The next thing to do is find out about all of these places. This can be done by getting in touch with J.P. Babu. who has done this enquiry for conferences before, and also lives in Hyderabad, so he can call and negotiate with the hotels directly.

Transport
The idea of the bus is great, and J.P.Babu will again have to be contacted for this. He has done this before.

Estimating Accomodation & Transport Finances
Once we have the rates for all of our accomodation and transport options, we need to compile this together. This should preferably be done by this weekend, i.e. by Sunday.

Choice of Band
Before we decide anything, we will have to draw up a list of potential bands, and then run these through a GB in college, without which we should not proceed on any choice. The GB will mention preferences and according to this, we will then approach the bands with our dates and enquire about availability.
However, since this process cannot happen till the middle of January by which time we should have gotten our sponsors more or less in place, what we can do is approach the list of bands we finalise and ask them about rates and tentative availability for March - April 2010 before college starts. That will also eliminate many dead leads and ensure that we dont waste time debating bands that wont come anyway.
I suggest we get together a list of bands by this Sunday, and spend next week enquiring into the bands we've finalised. By Monday we will divide the bands into city and allocate the job of approaching managers etc to people within or outside the SBC.

Conclusion
1. J.P.Babu must be called and asked to enquire about Transport and Accomodation and the resultant amount of money posted on this group by Sunday.
2. A list of bands, which I am now creating, will be finalised on Sunday, divided into persons in charge by Monday and worked upon over all of next week.

Regards.
