Notice of Annual General Body Meeting – March 30, 2025

Dear Members,

We hereby notify you that the Annual General Body Meeting of our Association is scheduled to take place on Sunday, March 30, 2025, at 11:00 AM in the community hall.

Arrangements have been made for virtual attendance via a platform, the details of which will be communicated in due course. Additionally, members’ opinions and votes for AGM matters will be accepted through circulation and electronic mail.

Agenda:

1. Annual Report Adoption: Discussion and adoption of the Board’s Annual Report for the fiscal year 2023-24.
2. Financial Statement Approval: Consideration and adoption of the Audited Financial Statement of Accounts for 2023-24, duly audited by M/S Subir Mallik & Co.
3. Auditor Election: Election of the Auditor for the fiscal year 2024-25 and determination of remuneration.
4. Election Commissioner Appointment: Appointment of the Election Commissioner for the formation of the new SSAOA Board (2025–2028).
5. Other Business: Transaction of any additional business with the permission of the Board or as deemed fit by the AGM.
6. Miscellaneous: Any other matters, subject to the chair’s approval.

We cordially invite all members to participate in this important meeting. Enclosed, please find the audited report for the year 2023-24 for your review.

Thanks to all members for nominating me as one of the election officers for the forthcoming election.

Also please note that I have requested to nominate Mr. Sanjoy Dasgupta along with me as we both worked together successfully for the last three occasions. 

As I do not stay here on a regular basis, I need active support from another person so that we two can work together smoothly.

I also need all the documents of the last election which are kept by Mr. Dasgupta meticulously, if he is not available this time.

Dear Ranjan Da,

I congratulate you on becoming the election officer, consecutively for the 4 th time.

Further, I wish 'A Shubho Nabo Borsho' to all the members of Sugam Sabuj.

It had been a privilege for me to assist you on the last 3 occasions as mentioned by you but this time, I am unable to do the same as I have to handle some serious issues in the next few months besides other preoccupations. I had conveyed the same to Mr Kaushik pal, our secretary, few days before the AGM, over telephone.

However, now coming to the prime point, that is, in regard to your last para. All the documents, which you would require, are available in your mailbox and other than a few hard copies of nomination forms duly filled in and submitted to me offline, by the previous candidates (which may not serve much of your purpose for this election), I cannot remember to have possessed any other documents. Still I will check once again, since it has been a long time and come back to you, in case, I find any.

To this effect, I humbly suggest you to go through the emails carefully from 14/01/22 to 14/05/22, in between which period, the entire election/ selection procedure took place i.e. from the date of nomination of election officers to the date of declaration of results. Besides other email ids, do check my email id

Hope the above will solve the issue and trust our existing committee will definitely depute somebody (out of 156 flat owners), who would be more or less unbiased and neutral to assist you this time and make the entire election/selection episode a successful one.
